Job Title: Program Assistant
Reports To: ACT Team Leader
Program: AdultACT Team Westchester
Location: Sterling Community Center, White Plains
Hours Per Week: 35 hours per week
FLSA Status: Non-exempt
Salary Range: $22 per hour
Summary Description: The ACT Program Assistantwill be responsible for the providing confidential administrative and secretarial support for the program. The position is responsible to ensure that these functions are performed in a manner that facilitates program compliance with all applicable regulatory agency requirements and mandates, agency policies and procedures and program practices. The ACT Program Assistant will perform the duties assigned to this position in accordance with the mission of the Greater Mental Health of New York, 'to provide mental health preventive, supportive, treatment and advocacy services to children and adults in our community,' and will do so in a manner that reflects the Association's goal of cultural competency
Key Responsibilities
- Develop, maintain, participate in and monitor clerical and office activities and procedures to ensure
- proper discharge of clerical duties and an efficient working environment.
- Handle telephone inquiries and logs, requests for information or assistance; file confidential material;
- and process clinical group sheets.
- Compile, prepare and complete weekly, monthly and annual reports as assigned.
- Ensure timely and proper documentation of services, records and other tracking mechanisms related
- to proper documentation as directed. Organize and maintain consumer files and daily paperwork to ensure compliance with program policy and Greater Mental Health of New York record retention policies.
- Prepare census, enter program changes, update software program, attendee sheets, and secure files
- as directed.
- Provide accurate records and documentation to fiscal office to facilitate billing and mandated reports.
- Secure, inventory, audit and manage office supplies and other resources directly related to clerical
- functions as directed.
- Attend and complete all Greater Mental Health of New York or state sponsored In-Service Training Programs related to position, program or agency goals.
- Any other duties needed to help drive our vision, fulfill our mission, and abide by our organization’s values.
Working Relationships
The ACT Program Assistant is expected to develop collaborative working relationships with the Chief Financial Officer, Corporate Compliance Officer, and other supportive, supervisory or administrative staff.
Requirements
- Strong computer knowledge: typing, communication tools, scheduling tools and web browsers.
- Proficiency in Microsoft Office suite and database management systems.
- Fluency in English (Reading, Writing, Speaking).
- Must be cleared and maintain clearance by applicable regulatory clearances as required.
- Legally eligible to work in the United States without sponsorship. Must be computer literate. Proficiency in Microsoft Excel and Word and other software programs required.
- Must be detail oriented, possess good written and verbal communication skills, and have the ability to problem solve.
- High School degree or equivalent plus 3 year's nonprofit, medical or mental health secretarial experience.
- Excellent verbal/written communication skills.
- Ability to work independently, prioritize and meet deadlines; and computer experience.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit, talk and hear. The employee frequently is required to use hands and fingers, handle and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds.
Special Considerations
- Hours per week, reporting structure, and location are subject to change per program needs.
Work Environment
This is a full-time, 35 hour per week position. Hours of work: Monday through Friday 8:30 — 5:00. The noise level in the work environment is usually moderate.
Mandated Reporter
This is a Mandated Reporter position. The NYS Justice Center legislation defines anyone who has regular and substantial contact with any person with special needs as a “custodian” under the law and, therefore, a mandated reporter. You can be held liable by both the civil and criminal legal systems for intentionally failing to make a report.
