Job description

The Program Assistant will support the Child Development Leadership Team to ensure the Early Head Start/Head Start Program meets or exceeds the Head Start Performance Standards, in line with the Child Development Philosophy.

Responsibilities include but are not limited to:

  • Perform administrative and program support activities, including assisting Administrative Staff with Policy Council and related Advisory Councils (mailings, meetings, etc.).
  • Perform general clerical duties such as photocopying, faxing, mailing, and filing.
  • Maintain multiple tracking databases.
  • Assist with program special events and trainings.
  • Assist with all end-of-month paperwork.
  • Assist with the purchase, distribution, and inventory of materials.
  • Understand and support managers with licensing and Performance Standard requirements.
  • Assist with purchasing equipment and materials.
  • Provide support to classrooms as needed.
  • Record monthly statistics.
  • Support program School Readiness goals and objectives.
  • Record recruitment information as needed.
  • Assist in reviewing start-up paperwork.
  • Participate in annual program self-assessment.
  • Obtain and report program In-Kind.
  • Attend training and meetings as required.
  • Adhere to Agency Personnel Procedures.
  • Perform other duties as requested by the Child Development Leadership Team.

Qualifications:

  • AA/AAS degree preferred or a combination of education and work experience.
  • Ability to maintain confidentiality with co-workers, customers, peers, and the general public.
  • Experience working with Word, Excel, and Microsoft Office.
  • Highly accurate and organized with excellent attention to detail.
  • Effective communication skills.
  • Ability to maintain positive, professional working relationships.
  • Effective written and oral communication skills.
  • Willing and able to travel to all Head Start sites, training, home visits, etc., as needed.
  • Must pass an annual physical examination and CPS Clearance.
  • Ability to relate to people from varied backgrounds.
  • Basic computer and arithmetic skills.
  • Ability to lift up to 30 pounds.
