Job description

We are a small but mighty, growing organization working across Kentucky seeking a collaborative candidate committed to civic engagement in Kentucky immigrant and refugee communities. The Program Assistant will provide essential support for our legal workshops and community outreach programs. This role also includes everyday administrative, clerical, and data tasks that keep our small team running smoothly. This is a remote position with flexibility to work from home, but candidates must be based in the Lexington or Louisville areas to support in-person meetings, events, and activities.

Legal Workshop Support (30%)
  • Support with data entry, application preparation, processing of forms, participant follow-up, and mailing applications before and after workshops.
  • Assist with workshop set-up, including arranging materials, forms, and signage.
  • Provide logistical support during workshops, such as coordinating volunteer schedules and helping with flow of participants.
Community Outreach (20%)
  • Represent the organization at international festivals, health fairs, and other community events.
  • Set up and maintain a visually engaging outreach table with organizational materials, voter registration forms, and interactive elements.
  • Register eligible immigrant voters and assist with completing forms accurately.
  • Build and strengthen community connections by engaging attendees, partners, and community members in conversation and providing resources.
  • Distribute flyers, handouts, and other educational materials.
  • Track and report outreach activities, including number of contacts made and voter registrations completed.
Volunteer Coordination (20%)
  • Recruit, train, and support volunteers for community outreach and immigration legal workshops
  • Maintain regular communication with volunteers and assign roles as needed.
  • Provide on-site guidance and support to ensure smooth volunteer participation at events and clinics.
Data Coordination (20%)
  • Enter and maintain outreach contacts and workshop participation.
  • Maintain CRM records to track donors, participants, and community engagement.
  • Pull reports as needed to support program evaluation and grant reporting.
  • Prepare and send donor acknowledgements in a timely manner.
  • Manage sign-in sheets, follow-up lists, and volunteer logs.
Event Logistics Coordination (10%)
  • Book workshop spaces, register for tabling events, order supplies (refreshments, printed materials), setup tech (Zoom, laptops, printer, etc.)
  • Manage digital files for outreach and legal workshops
  • Assist with budgeting for program costs; tracking expenditures vs. budget
Qualifications
  • Bachelor’s degree in a related field (e.g., nonprofit management, social work, international studies, political science) AND 1–2 years of nonprofit experience; OR 3–5 years of relevant experience in lieu of a degree
  • Proficiency with Microsoft Office Suite, Google Workspace, Canva, and CRM/database systems
  • Strong written and verbal communication skills
  • Excellent organizational skills, accuracy, and attention to detail
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
  • Experience coordinating volunteers and/or supporting community-based programs
  • Comfortable engaging with diverse communities and maintaining cultural sensitivity. Bilingual skills a plus
  • Ability to lift and transport office equipment (such as a printer) and outreach/display materials
  • Valid driver’s license, reliable transportation, and willingness to travel within the state as needed
  • Flexibility to work occasional evenings and weekends for outreach events and legal workshops
