Job summary

The United Church of Christ National Setting in Cleveland seeks a Program Assistant to provide administrative and logistical support for the Faithful Action Ministries. You will assist program ministers, manage calendars, draft communications, arrange travel, and help with materials and data management.

Three days in the office on a hybrid schedule are required; the role offers a starting salary of $45,000 and comprehensive benefits.

Qualifications

  • Four years of office administration and project management experience with ability to manage multiple projects
  • College degree or equivalent experience, or combination of academic study and experience

Responsibilities

  • Support the mission and goals of the United Church of Christ across programs and ministries
  • Assist in drafting, editing, and disseminating communications and handle email correspondence
  • Conduct research and provide support to program ministers for projects
  • Arrange travel reservations and travel logistics for program ministers
  • Maintain and manage program ministers' calendar and coordinate content for team calendar
  • Maintain data management and filing for team projects
  • Record notes and action minutes in program meetings and prepare briefs
  • Compile and disseminate program materials and documents
  • Submit expense reimbursements and credit card reconciliations by deadlines
  • Participate in staff meetings and retreats as requested
  • Plan, track, and report on ministers' work to support coordination
  • Contribute content for ministry communications and marketing materials
  • Develop and maintain professional relationships with UCC staff and partners

Description

GENERAL PURPOSE OF POSITION:

The Program Assistant provides administrative and logistical support for projects, initiatives, and programs to the Cleveland-based Program Ministers. Participate as part of the Administrative Support Network for communal support across the ministries as necessary.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Support the mission and goals of the United Church of Christ across all programs and ministries.
  • Assists in drafting, editing and disseminating written communications and in responding to email and other correspondence for the team.
  • Conducts research and provides support to program ministers related to projects and programmatic efforts.
  • Arranges travel reservations and organizes travel logistics for program ministers.
  • Maintains and manages the program ministers’ calendar and coordinates and submits content for the team calendar to inform others of activities and whereabouts.
  • Maintains data management and filing for team projects/programs.
  • Records notes and action minutes at program team meetings and prepares briefs on key program issues, as assigned.
  • Compiles and disseminates program materials and documents.
  • Maintains accountability to administrative systems and procedures, including submitting expense reimbursements and credit card reconciliations by the deadlines.
  • Participates actively in staff meetings and retreats when requested
  • Plans, tracks, and reports on program ministers’ work in support of team coordination and synergy.
  • Contributes content for ministry communications and marketing materials, such as the Justice newsletter etc.
  • Develops and maintains professional and courteous relationships with UCC national and conference staff, community and religious partners and other constituents; serves as a positive role model by exemplifying values which are consistent with the United Church of Christ.
MINIMUM QUALIFICATIONS:

The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position

  • A minimum of four years demonstrated office administration skills and project management experience including the ability to manage multiple projects simultaneously
  • A college degree or equivalent experience, or a combination of academic study and experience, preferred.
  • Evidence of being a self-starter, able to prioritize work and perform with minimum supervision in the areas of planning, organizing, coordinating and making decisions and judgments relating to assigned projects and other responsibilities.
  • Strong creativity; ability to utilize existing resources to generate new ideas, forms, methods and interpretations.
  • High level of interpersonal and analytical skills; desire to work in a team environment.
  • Excellent written and verbal English skills, including ability to conceptualize and develop print resources and public speaking skills.
  • Demonstrated ability to give careful attention to details and ability to prioritize and handle multiple projects at one time.
  • Ability to maintain confidentiality and to exercise discretion and judgment.
  • Desire and sensitivity to work in diverse racial, ethnic, cultural and religious settings with commitment to pluralism in the workplace as well as in one understands of mission.
  • Demonstrated ability to work collaboratively and collegially as well as independently.
  • Advanced computer skills: MS Outlook, Word, Excel, Power Point; software and internet technology skills, including social media platforms.
