Job summary

The New York State Department of Environmental Conservation (DEC) Warrensburg office is seeking an administrative professional to provide support across multiple programs, including permits and habitat. The role emphasizes accurate documentation, data entry in eTrack, and responsive inquiry handling.

Responsibilities include drafting and proofreading, file digitization, records management, FOIL responses, and coordinating meetings.

  • Assist with meeting coordination, field schedules, and compliance scheduling; compile emergency authorizations.

This position is located in DEC’s Warrensburg office, in the beautiful Adirondack Park. You’ll work in a close-knit office and interact with a variety of environmental professionals who are passionate about New York's natural resources and fostering sustainable development.

  • Provide administrative and programmatic support to various programs including, but not limited to, Regional Administration, the Division of Environmental Permits, the Division of Mineral Resources, and the Bureau of Habitat.
  • Draft, edit, and proofread correspondence and documents to ensure grammatical accuracy, clarity and consistency; digitize files; file paper and electronic documents, process incoming and outgoing mail; monitor shared mailboxes; etc.
  • Respond to general project inquires (by phone, walk-ins or written), jurisdictional reviews for UPA permit types and SEQR lead agency requests.
  • Receive and log in applications into data systems such as eTrack.
  • Process minor permit applications.
  • Conduct jurisdictional wetland determinations in GIS.
  • Compile site visit summaries.
  • Assist with the coordination of meetings, delineation field schedules, and compliance scheduling. - Compile emergency authorizations for follow up.
  • Assist with wetland general permits.
  • Coordinate and respond to FOIL requests.
  • Prepare and process expense reports.
  • Manage records including SharePoint, GIS, and various agency applications.
  • Order and track inventory of supplies.
  • Screen incoming phone calls.
  • May supervise other administrative staff as assigned.
  • Cover the front desk as a back-up as needed.
  • Perform other miscellaneous duties as assigned.
Qualifications
Minimum Qualifications

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. To be eligible for appointment under NY HELPS, candidates must meet the minimum qualifications below:

Non-Competitive Qualifications

Three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.

Competitive Qualifications

Reassignment - Currently in the title and an employee of DEC

or

Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.

or

Transfer Eligible - One year of permanent competitive service at Salary Grade 11 or higher and:

Transfer eligible under Section 70.1 - permanent competitive service as an Accountant Aide, Accountant Aide Trainee 2, Business Document Specialist 2, Stores & Mail Operations Supervisor, Principal Mail and Supply Clerk, Principal Offset Print Machine Operator, Principal Stores Clerk, Program Aide, Administrative Assistant 1.

Additional titles SG 11 or higher which qualify can be found on the Department of Civil Service website, search "GOT-IT".

Note: If there are three or more interested candidates on the promotional eligible list, a non-competitive appointment via NY HELPS will not be authorized.
