Job summary

American Society of Clinical Oncology, Inc. (ASCO) is seeking a Program Administrator for Certification Programs to support our worldwide oncology practices. The role balances operations, customer service, project coordination, and data analysis to improve the certification process and the customer experience.

The position is hybrid with a primary location at our Alexandria, VA headquarters, and the hire must reside within 75 miles of the location. 3–4 years of related experience preferred.

Qualifications

  • Bachelor’s degree or equivalent experience in a related field.
  • 3–4 years of experience in operations support, administrative coordination, credentialing, or healthcare support.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Outlook) and willingness to learn new technology.
  • Certified Professional in Healthcare Quality (CPHQ) or Project Management Professional (PMP).
  • Experience in credentialing or provider data management.
  • Excellent written and verbal communication with strong time management and multitasking skills.
  • Customer service oriented with attention to detail.
  • Strong problem-solving, root cause analysis, and proactive thinking.

Responsibilities

  • Administer certification applicant processes including verification of documentation and payments.
  • Manage inquiries via phone and email, monitor plans, timelines, budgets, and assist senior staff with best practices.
  • Independently administer the ASCO Certification Outreach Program with data analysis, communications, and follow-up with practices.
  • Support customers pursuing ASCO Certification, including milestones like eligibility, data, payments, and reporting.
  • Plan meetings to review requirements, timelines, and deliverables.
  • Maintain Certification documents, FAQs, and process documents.
  • Update and support the Care Delivery Portal and ARMATURE dashboards, including reporting and data management.
  • Develop user guides and host webinars for ARMATURE users and customers.
  • Lead regular web-based training sessions and refresh content as needed.
  • Collaborate with internal teams and external vendors on certification promotion and outreach.
  • Perform complex data analysis for outreach and promotions, track metrics, and report to senior staff.
  • Work with leadership on budgets, revenue reconciliation, and financial reporting.
  • Identify issues and implement process improvements to certification and customer support.

Who we are looking for:

ASCO is in search of a Program Administrator, Certification Programs to join our Care Delivery team. The Program Administrator, Certification Programs will help administrator ASCO’s globally recognized Certification Programs, supporting oncology practices across the world. The successful hire will serve as a trusted resource for customers, manage program operations, analyze data, coordinate outreach efforts, and drive process improvements that enhance the customer experience. This position is hybrid with a primary location at our headquarters in Alexandria, VA. The hire must reside within 75 miles of our headquarters.

Responsibilities
  • Administer the certification applicant processes including verification of documentation, status of practice, processing of payments, distribution of Certification Awards, and maintenance of certification
  • Administer all certification‑related telephone and e‑mail inquiries, monitor program plans, timelines, calendar, and budgets, and assist senior staff in identifying best practices, issues, and solutions
  • Administer independently the ASCO Certification Outreach Program which includes customized data analysis, personalized written communications, response tracking and analysis, and follow up with domestic and international practices.
  • Provide primary support for customers pursuing ASCO Certification including timeline management and follow‑up for key application milestones such as program eligibility, questionnaire data, payments, pre‑survey policy submission, and quality measure reporting activities.
  • Plan meetings with practice staff to review certification requirements, timelines, and deliverables.
  • Maintain ASCO Certification website documents including FAQs, Certification Process Documents, and application documents.
  • Administer updates to the ASCO Care Delivery Portal (via ARMATURE software) including site enhancements, testing, customized reporting, and data management.
  • Support customers in ARMATURE by developing and maintaining user guides and hosting webinars and meetings.
  • Administer regular web‑based training sessions for applicants and update presentation materials and slides with current and relevant content based on known customer needs.
  • Manage internal collaborations and external vendors for ASCO Certification promotion and outreach efforts including certification marketing kits, and others as needed.
  • Perform complex certification data analysis across various key documents for promotional efforts such as the payer physician national provider identifier project, certification contacts lists, review of user and organizational accounts, and other projects as needed.
  • Evaluate the performance of ASCO Certification outreach and promotional efforts with tracking, trending and analysis with regular updates to senior staff and volunteers when indicated.
  • Collaborate with senior leadership on budget maintenance and external presentations, and Finance to reconcile revenue transfers
  • Manage certification financials for timely invoices, payment tracking, revenue recognition, vendor payments and forms, and monthly financial data analysis and reporting.
  • Identify and problem solve issues that arise.
  • Implement and manage process improvement activities related to certification process, customer support, and operations.
Requirements

Compensation

This is a non‑exempt position based upon 37.5 hours per week. The hourly rate range for this position is $35.74 - $43.33. The range displayed reflects the minimum and maximum annualized salary ASCO expects to provide for a new hire for the position across the U.S. We thoughtfully determine and design offers based on the selected candidate’s relevant experience and qualifications.
