Job summary

Qualifications

  • Arranges interpreter services and resources to support high-quality patient experiences.
  • Answers telephone calls and collects detailed clinical information to resolve issues or escalate to management.
  • Recognizes urgencies and responds using standard operating procedures and critical thinking skills.
  • Provides program-specific information to callers and refers calls as appropriate.
  • Schedules patient visits and manages changes for one or multiple providers.
  • Assists in processing paperwork including insurance claims and medical forms.

Job description

The Division of Cancer Genetics and Prevention is a team of medical oncologists, gastroenterologists, geneticists, genetic counselors, and nurses who provide cancer risk assessment and comprehensive recommendations for managing cancer risk. We provide thoughtful partnerships with primary and specialized health care providers in order to offer exemplary cancer risk assessment, genetic counseling and testing, dedicated monthly patient reviews, and continuing educational resources in the complex and dynamic field of cancer genetics. Our unique partnering of a physician and genetic counselor provides expertise in the assessment and management of inherited cancer syndromes including hereditary breast and ovarian cancer, Lynch and other gastrointestinal syndromes, and all other cancer syndromes across the spectrum of inherited cancer risk. In addition, the team is prepared to assist with the introduction of newer genetic testing methods and the germline aspects of personalized cancer medicine.

The Program Administrator provides administrative support and coordination for aspects of patient care for both new and established patients in the satellite clinics / regional campus sites for the Division of Cancer Genetics and Prevention. The Program Administrator is often the first point of contact a satellite patient has with the team. This role highlights features of customer service and administrative responsibilities.

Primary Duties and Responsibilities
  • Provides administrative support and coordination for all aspects of patient care for both new and established patients.
  • Schedules appointments following guidelines that support continuity of care and a high standard of timely communication and rescheduling as necessary.
  • Appropriately arranges resources to support the highest standard of patient experience and visit, i.e. arranging interpreter services.
  • Answers telephone calls, as appropriate for new and established patients. This includes the responsibility to collect detailed clinical information provided by patients, internal/external providers, and others such as staff from ancillary services, and either resolve problems directly or ensure appropriate escalation to management.
  • Recognizes urgencies and appropriately responds using standard operating procedures and critical thinking skills.
  • Provides program specific information to callers and refer calls as necessary.
  • Schedules patient visits, and manages changes, ranging in complexity for one physician appointment to multiple care provider appointments.
  • Provides information to the patient regarding the need for insurance referral(s) and refers calls as appropriate.
  • Assists in processing paperwork associated with clinical care including: insurance claims, disability forms, and medical equipment forms.
  • May work on special assignments and projects as needed.
Knowledge, Skills and Abilities
  • Strong written and oral communication skills.
  • Proficient knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.
  • Knowledge of trends, issues, and accepted practices relevant to the position.
  • Excellent attention to detail skills.
  • Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
  • Must possess the ability to problem solve with minimal guidance, maintain confidentiality, and pay attention to detail.
  • Excellent ability to organize, prioritize and follow-through.
  • Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.
Minimum Job Qualifications
  • High School Diploma required. Bachelor’s degree preferred.
  • 3 years of experience working in a medical or scientific research setting or comparable technology-oriented business environment required.
