Job summary

Word on Fire Catholic Ministries is seeking a Production Coordinator in Rochester, MN to manage the studio production calendar and internal project management. You will coordinate travel for the production team and external guests or talent, while handling contracts with contractors and ensuring smooth on‑set operations.

The role requires strong organizational skills, attention to detail, and experience coordinating multiple vendors and calendars.

Qualifications

Responsibilities

• Maintain accurate details in the production calendar for events, sessions and travel.
• Assist the team with project management to hit deadlines using PM tools.
• Source and administer contracts with production contractors such as photographers and camera operators.
• Produce and distribute call sheets with relevant details for productions.
• Coordinate travel for production team and external guests/talent.
• Purchase and stock office and production supplies.
• Liaise with building management to keep studio and office space clean and safe.
• Monitor budgets and expenditures related to contractor services.
• Schedule contractors for various productions and track availability.

Production Coordinator

Reports to Producer

Word on Fire Catholic Ministries is a nonprofit global media apostolate that supports the work of Bishop Robert Barron and reaches millions of people to draw them into—or back to—the Catholic faith.

The Production Coordinator is responsible for the studio production schedule, internal production department project management, and administrative tasks such as travel arrangements for the production team and external guests and talent.

Location: Rochester, MN

Employment Type: Full-time

Responsibilities

• Maintain accurate details in the production calendar for all production related events and projects including filming sessions, post production deadlines, and travel
• Internal production department project management focused on assisting the team to hit deadlines; utilize and update applicable project management software and tools
• Source and administer contracts with production contractors such as photographers, makeup artists, and camera operators
• Produce and distribute call sheets for all productions with relevant and accurate details
• Manage craft services and make arrangements for all production related guest meals
• Purchase and stock various office and production supplies
• Occasionally assist in communication with building management representative to maintain a clean, safe, and orderly studio and office environment
• Monitor project budgets and expenditures, tracking costs associated with contractor services
• Coordinate and schedule contractors for various productions
• Maintain an organized scheduling system to track contractor availability, project timelines, and resource allocation
• Book and coordinate travel arrangements for the production team and external guests/talent

Requirements

• Commitment to the mission of Word on Fire
• Great organizational skills with a close attention to detail
• 3 years of experience in or around video production processes
• Ability to manage and maintain multiple calendars at a time
• Ability to manage multiple vendors, contractors, and external stakeholders at a time
• Ability to source and maintain an active roster of collaborators
• Interpersonal skills, written and verbal
• Ability to source office or production needs in a timely manner
• Familiarity with spreadsheets and Google applications
• Familiarity with production call sheets

Preferred Qualifications

• High levels of initiative and problem-solving skills
• Familiarity with the work of Bishop Barron and Word on Fire
• Adobe Creative Cloud
• Experience with project management softwares such as Monday.com
• Experience sourcing licensed footage

Physical Requirements

• Ability to sit or stand for extended periods of time
• Must be able to lift, carry, and transport 25 pounds or more occasionally
• Frequent walking, bending, stooping, or reaching to set up equipment or prepare production spaces
• Comfortable climbing stairs and navigating a variety of indoor and outdoor locations, including uneven terrain during on-location shoots

Compensation and Benefits

The estimated base pay range for this position is $60,000 - $75,000 annually. Word on Fire determines individual compensation on several factors, including but not limited to, experience, skills, alignment with the role’s responsibilities, and geographic location. This role may be eligible for annual merit increases based on individual performance.
