Job summary

Job Overview

The Production Operations Coordinator supports the Production Operations team by coordinating operational plans, managing logistics, and overseeing administrative processes for the Macy's Thanksgiving Day Parade and other iconic Macy's events. This role ensures efficient execution by providing operational support, maintaining project documentation, coordinating event logistics, and managing key administrative activities across multiple productions.

What You Will Do
  • Coordinate key event logistics, including vendor scheduling, trucking arrangements, hotel and travel accommodations, security planning, event-day support, and the proofing and approval of advertising and promotional materials.
  • Maintain operational reports, track project updates, and update budget spreadsheets to support event planning and execution.
  • Manage hotel room block reservations, ensure compliance with contractual deadlines, and communicate reservation details and confirmations across stakeholder groups.
  • Maintain production databases, records, volunteer information, and production timelines to support operational readiness.
  • Support ticketing and credentialing operations, including allocation management, printing, distribution, and tracking.
  • Coordinate pre-Parade activities, including trainings, meetings, and other production-related events, and provide on-site support as needed.
  • Support operational execution of the Macy's Thanksgiving Day Parade by coordinating production activities along the parade route and assisting with communications center operations, including production-wide radio communications.
  • Provide hands-on event support, including crowd management, barricade setup and movement, signage installation, and staff and crew coordination.
  • Support the administrative needs of the Production Operations team, including printing, shipping, office supply management, facilities coordination, and maintenance request tracking.
  • Prepare and organize documentation for city agency review, including permits, presentations, reports, and parade route planning materials.
  • Assist with the planning and execution of other Macy's Studios events and productions as needed.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.

Skills You Will NeedEvent Coordination & Logistics: Ability to coordinate complex event logistics, including travel, lodging, transportation, security planning, vendor scheduling, and event-day operations to ensure seamless execution.

Project Coordination: Ability to manage multiple projects simultaneously, track deliverables, maintain schedules, and support the successful execution of large‑scale events in a fast‑paced environment.

Administrative Operations: Ability to manage documentation, maintain operational reports, coordinate office functions, oversee supply management, and support day‑to‑day business operations with accuracy and efficiency.

Stakeholder & Vendor Coordination: Ability to collaborate effectively with vendors, business partners, volunteers, hotels, city agencies, and cross‑functional teams to support production objectives.

Organizational Skills: Exceptional attention to detail with the ability to maintain records, databases, timelines, reservations, credentials, and other critical event documentation.

Communication Skills: Strong verbal and written communication skills with the ability to convey information clearly, coordinate activities across multiple groups, and represent Macy's professionally.

Database & Records Management: Ability to maintain production databases, volunteer records, credential tracking systems, and other operational tools while ensuring data accuracy and integrity.

Adaptability & Multitasking: Ability to prioritize competing demands, adjust to changing circumstances, and effectively manage multiple responsibilities in a dynamic event environment.

Technical & Administrative Proficiency: Proficiency with Microsoft Office applications, database platforms, data entry systems, and business technology tools, with experience in FileMaker Pro, Airtable, or similar systems preferred.

Customer Service & Professionalism: Ability to deliver exceptional service, build positive relationships, and maintain a professional image consistent with Macy's brand values.

Who You Are
  • Candidates with a bachelor’s degree or equivalent work experience in a related field are encouraged to apply. 1-3 years of event coordination or related field experience.
  • This position requires heavy lifting, constant moving, remaining in a stationary position, and reaching with arms and hands. Involves remaining in a stationary position for at least two consecutive hours, lifting at least 35 lbs. stooping, kneeling, crouching, and climbing ladders. May involve reaching above eye level. Requires close vision, color vision, depth perception, and focus adjustment.
  • Able to work a flexible schedule, including days, evenings, weekends, and holidays, based on department and company needs. Must be available to work flexible and extended work hours the month of November; must be available to work all of Thanksgiving week.
