Job summary

NBCUniversal in Miami is seeking a Production Coordinator to support day-to-day operations on assigned show(s). This role partners with Production Manager on cost controls, vendor relations, and budgeting.

Requirements include a minimum of 2 years in production or event coordination, a Bachelor's degree or equivalent, fluency in English and Spanish, and strong Microsoft 365/Excel skills. This is a hybrid role in the Miami area with travel and flexible hours.

Qualifications

  • Minimum 2 years of experience in production, event coordinating, and office management.
  • Bachelor's Degree or equivalent of experience and/or additional education.
  • Must be fully fluent in English and Spanish (both written and verbal).

Responsibilities

  • Support Production Manager with management of show costs by efficiently controlling expenses and preparing financial plans.
  • Handle relationships with vendors; including vendor vetting, facilitating contract terms, and payment inquiries.
  • Timely management of show expenses; processing invoices, p-card transactions, expense coding, and pacing reports.
  • Tracks orders & deliveries according to deadlines.
  • Responsible for maintaining purchasing logs for show.
  • Liaise with finance on information and requirements to process payments.
  • Build a budget for projects assigned by the Production Manager.
  • Ensure proper legal documentation, including independent contractor agreements, appearance, location, and logo releases for in-studio and on-the-field services.
  • Responsible for researching & coordinating the rental of equipment, locations, items, and any other show needs.
  • Assist with the coordination of production requests such as booking cameras, catering, location, transportation, etc.
  • Create and coordinate production calendars for remotes and special events.
  • Create Support Central requests for all onboarding needs.
  • Handle HR and Security requests for guests coming to Telemundo Center.
  • Occasionally coordinate and assist with other entertainment shows/specials as needed.
  • Tracks cost for travel on productions.
  • Responds to and resolves problems or questions relating to production ensuring the most cost-effective solution; elevate issues to Production Manager as needed.
  • Booking travel arrangements for talent and special guests as needed.

Qualifications

Basic Requirements:

  • Minimum of 2 years of experience in production, event coordinating, and office management.
  • Bachelor's Degree or equivalent of experience and/or additional education.
  • Must be fully fluent in English and Spanish (both written and verbal)
  • Proficient in Microsoft 365 with particular emphasis and mastery of Excel
  • Must possess excellent customer service skills and have a willingness to work as a team player.

Additional Requirements:

  • This position has been designated as a hybrid, generally contributing from the office a minimum of four days per week.
  • Willingness to travel with short notice and on weekends.
  • Willingness to work flexible hours including late and/or last-minute scheduling changes in a 24/7 production work environment.
  • Must be willing to work in the greater Miami, Florida area.
  • Must be 18 years or older.
  • Must have a valid driver’s license.
  • Must have unrestricted work authorization to work in the United States.
  • Must be covered by Solutions, NBCU’s Alternative Dispute Resolution Program.
