Position Summary
Performs clerical duties specific to Production processes, including receptionist relief, printing documents, and processing all Production print jobs.

Essential Functions
- Outgoing documents (Production Switchboard Workflow)
- Assembles and mails daily all documents contained in the Accreditation Manuals; PT mailings; Marketing mailings
- Sends promotional items and forms to the Surveyors as needed, typically on a monthly basis
- Advises Staff Accountant of low supplies that need to be ordered including letterhead, envelopes; etc., required for the projected mailings through the Production Department
- Assists with internal customer service and relieves Receptionist
- Serves as a Back-Up Operator to the Receptionist with the responsibility of transferring calls to the appropriate staff members
- Follows Standard Operating Procedures for Printers/Process Outgoing Correspondence, etc., as required
- Processes outgoing mail on a daily basis utilizing provided software & postage machine
- Services mail machine as needed (add postage, sealant, ink, tapes, etc.)
- Proactively keeps up to date on postage rates and changes and maintains a good working relationship with the vendor
- Processes & tracks shipping of packages via FedEx and other shippers as needed utilizing COLAs shipping software
- Keeps adequate FedEx supplies on hand by ordering through the vendor (envelopes, labels, boxes, pouches) as needed
- Codes incoming document forms as needed
- Back-up to the Customer Account Manager for COLACentral support
- Order supplies for the office through our vendors
Required Education And Experience
- High School Diploma or GED
- 1-2 years data entry experience
- Thorough knowledge and experience in Microsoft Office products (Word, Outlook, Excel)
- Solid interpersonal, oral, and written skills
- Ability to manage multiple concurrent projects
- Strong analytical and problem solving skills
- Demonstrated aptitude for learning new subjects and technologies
- Ability to navigate the World Wide Web (Internet)
