BACKGROUND:

Since 1952, Beacon Group has been creating opportunities for people with disabilities across Southern Arizona, Phoenix and beyond. As a registered 501(c)(3) non-profit, Beacon serves over 2,000 people with disabilities each year. Beacon provides job training and placement, supported and center-based employment, and day treatment programs to assist nearly two-thirds of working-age people with disabilities who do not have a job. POSITION INTRODUCTION

Beacon Group is seeking candidates to work on a federal contract. The ideal candidate is reliable, pays close attention to detail, is organized and must be able to pass a pre-employment background check. The position is in a high production environment, and the candidate must be able to obtain and maintain a government clearance.

DUTIES AND RESPONSIBILITIES:
  • Operate various high-speed equipment for scanning of applications & documents, and metering mail such as the IBML and Pitney Bowes machine (image capture, PRISM scan, mail metering).
  • Count, sort, open and assemble mail, applications, and other office documents (physical lockbox and direct mail open).
  • Generate mailing labels, ensure that mail labels match the applicant identification, fill and seal envelopes with correct passport and corresponding supporting documents (mail out and quality control).
  • Box and archive files for storage purposes (PRISM).
  • Follow a pre-set pattern for document sequencing (PRISM).
  • Assist with moving office décor or assist with plants, furniture.
  • Perform searching and filing functions to locate, file and/or retrieve applications.
  • Operate scanning equipment and biological hood HEPPA filter to open mail.
  • Operate computer software to generate mailing reports and labels for domestic and overseas shipments and create manifests.
  • Prepare documents, supplies and materials for large shipments.
  • Make copies, restock forms and supplies throughout the office.
  • Escort cleaning crew, maintenance or other visitors as requested.
  • Delivery and stage work in various office areas.
  • Perform shredding and recycling collection and disposition tasks.
  • Assist with newsletters and coordinate the folding, stuffing, sealing, and mail out of various mailings.
  • Train other employees in these duties.
  • Enter and update application notes in issuance system.
  • Perform data entry and understand basic naming conventions (data entry).
  • Print passport books and passport cards and inspect for product quality (book print & card print).
  • Review passport product against data system information for completeness and accuracy (quality control).
  • Review, prepare and correct photographs in accordance with regulation (image review).
  • Review documents scanned into system for accuracy and prepare applications for archiving purposes (IQA).
  • Create batches in TDIS.
QUALIFICATIONS:
  • HS diploma, GED or current HS enrollment with 2.5 GPA.
  • Experience utilizing computers and office software, specifically MS Word and MS Outlook.
  • Good hand-eye coordination.
  • Ability to remain flexible and adapt under pressure in stressful situations.
  • Ability to follow instructions and established procedures.
  • Capable of performing repetitive tasks while maintaining a high level of accuracy, such as: lifting, standing, reaching, twisting, sealing envelopes, opening mail, stacking, moving/stacking boxes, un-stapling, paperclipping, book printing, sorting, filing, and reading.
  • Ability to multi-task while paying attention to detail and accuracy.
  • Ability to work in one place and traverse the office on a continuing basis.
  • Ability to provide basic customer service skills.
  • Ability to meet production and quality standards.
  • Ability to stand or sit for periods lasting more than 3 hours.
  • Ability to lift up to 30 pounds.
  • Ability to work well with others.
  • Good typing skills for data entry.
  • Good filing and file retrieval skills.
  • Ability to read basic level reports.
  • Ability to make independent decisions.
  • Ability to identify and notify supervisors of work anomalies.
  • Ability to determine quality and correctness of prepared passports and maintain issued applications in an orderly and traceable fashion.
  • Ability to quickly learn and navigate software used for passport issuance and archiving.
WORK HOURS AND SCHEDULE

Monday to Friday, second shift.
