Job summary

Collins Machine Works seeks a Production Adminstrator to serve as the central operational link among shop floor, engineering, project management, and quality control. You will maintain production schedules, track job progress, and ensure machinists have materials and data needed to deliver on time for national defense programs and heavy industry.

Applicant must be a US citizen with access to DoD facilities; sponsorship is not available.

Qualifications

• High school diploma or equivalent required; associate degree/technical cert a plus.
• 1–3+ years of production administration, project coordination, or operations support experience preferred.
• Strong Excel skills (formulas, pivot tables, data tracking).
• Familiarity with ERP/MRP software (JobBOSS, Epicor, ProShop) or scheduling tools like MS Project.

Responsibilities

• Maintain live production schedules and track shop floor labor hours against job budgets.
• Monitor real-time job progress and track deliverables from prototype to final inspection.
• Liaise between machining, engineering, quality, and project managers to surface bottlenecks and keep work flowing.
• Generate and distribute weekly production, capacity, and job-cost reports for operations leadership.
• Monitor material availability and staging to flag potential shortages or lead-time delays.
• Assist estimators with job data, routing history, and admin support during bids.

Join our dynamic team and serve as the central operational link between the shop floor, engineering, project management, and quality control as our new Production Adminstrator! You'll be instrumental in maintaining production schedules, tracking job progress, and ensuring our machinists and project teams have the materials and data needed to deliver on time, directly impacting our support of critical national defense programs and heavy industry.

Collins Machine Works offers a sign on bonus in the amount of $2,000 to be paid after six months of satisfactory employment performance.

Collins Machine Works also offers employee referral bonuses in the amount of $1,000 per referral to be paid after the referred employee completed six months of satisfactory employment performance.

Major Responsibilities & Essential Functions

• Maintains live production schedules and tracks shop floor labor hours against job budgets.
• Monitors real-time job progress and tracks deliverables from prototype to final inspection.
• Acts as a daily liaison between machining, engineering, quality, and project managers to surface bottlenecks and keep work flowing.
• Generates and distributes weekly production, capacity, and job-cost reports for operations leadership.
• Monitors raw material availability and hardware staging to proactively flag potential shortages or lead-time delays.
• Assists estimators with job data, routing history, and administrative support during bid and proposal development.
• Routes operational paperwork, job packets, and documentation to the proper departments for action.
• Promotes a safety-first shop culture while supporting continuous improvement initiatives.
• Other general administrative and operational support tasks as needed depending on factory workflow.

Qualifications

• 1–3+ years of experience in production administration, project coordination, or operations support (manufacturing or machine-shop environment preferred).
• High school diploma or equivalent required; associate degree, technical certification, or relevant vocational training is a plus.
• High proficiency with Microsoft Office, specifically Excel (formulas, pivot tables, data tracking).
• Familiarity with ERP/MRP manufacturing software (e.g., JobBOSS, Epicor, ProShop) or scheduling tools like MS Project.
• Basic familiarity with machine-shop tools, workflows, and high-tolerance manufacturing terminology—or a demonstrated aptitude to learn them quickly.
• High attention to detail, strong cross-functional communication, and the ability to reprioritize quickly as production needs shift.
• Must have good time management skills to manage multiple priorities, jobs, and reports within the same day.
• Language skills - effectively communicate and understand job instructions both verbally and written in the English language. Ability to effectively interpret and translate operational status to other team members in a professional and respectful manner.
• Candidate must be able to pass a background check to gain access to sites that perform work on US DoD Contracts (on-site).

PHYSICAL DEMANDS

• The employee will be expected to spend significant time using a computer, keyboard, and mouse.
• While performing the duties of the job, the employee is regularly required to sit, stand, walk through the machine shop floor, reach with hands and arms, stoop, crouch, and use stairs.
• Ability to climb stairs multiple times a day a must.
• Ability to lift and move up to 25–50 lbs. occasionally when moving job packets, material tags, or staging hardware.
• Ability to perform job tasks while wearing proper PPE when required.
• Specific vision abilities required by this job include close vision and the ability to read technical documents and software reports.

WORK ENVIRONMENT

• The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
• The position splits time between an office setting and a precision machine shop floor. Some areas are climate controlled, others are not.
• The noise level in the work environment on the shop floor is usually moderate to high.
