Club Kuma is looking for an organized and detail-oriented Product Development Coordinator to support the development of new beauty projects, from initial brief through sampling, approvals, and handoff to production. This is an entry-level to junior role with opportunity to grow into a Project Manager. You’ll work closely with Sales, Project Managers, our Creative and Technical teams, and vendors to keep new projects moving from concept to production-ready.
What You’ll Do
- Support Sales and Project Managers on new projects by gathering client requirements, organizing project briefs, and preparing internal kickoff documentation.
- Coordinate with domestic and international vendors on sourcing new components, requesting quotes (RFQs), and tracking development samples and prototypes.
- Track sample and prototype rounds, including revisions, client feedback, and approvals.
- Partner with Creative and Technical teams to communicate design specs, artwork, and decoration requirements to vendors.
- Prepare and maintain development documents such as timelines, status updates, meeting recaps, costing comparisons, and spec sheets.
- Help compile and organize quotes and cost breakdowns to support pricing and client proposals.
- Enter and maintain accurate project information in Netsuite, spreadsheets, and shared trackers.
- Prepare samples for client presentations and coordinate shipping of samples to clients and internal teams.
- Ensure complete, accurate project details (approved specs, artwork, standards) are documented for a smooth handoff to production.
- Maintain organized file structures, project folders, and documentation.
- Identify development delays, feasibility concerns, or open questions and flag them promptly.
- Support general project workflow improvements as you learn and grow in the role.
What You Bring
- 1-2 years of experience in product development or a related role (beauty or consumer product development experience is a plus).
- Highly organized with excellent attention to detail and follow-through.
- Strong communication skills: clear, proactive, and reliable.
- Comfortable working with vendors, clients, and internal teams in a fast-paced environment.
- Interest in packaging design, materials, and how products come to life; a good eye for detail in specs and artwork.
- Proficient with Microsoft Suite and Excel; experience with Netsuite is a plus (training available).
- Curious, eager to learn, and excited about eventually growing into a Project Manager role.
- Friendly, collaborative, and able to stay calm and solution-oriented when juggling multiple projects at different stages.
Why You’ll Love Working at Club Kuma

- Growth opportunity as the company scales.
