The specialist ensures that product compliance information is accurate, current, traceable, and communicated in a clear and timely manner. The position supports customer requests involving product composition, regulatory status, safety documentation, environmental requirements, labeling, restricted substances, declarations, and other product-related compliance topics.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Product Compliance Information Management
    • Collect product compliance information from suppliers, manufacturers, internal product teams, and authoritative regulatory sources.
    • Review material certifications, product and supplier declarations/certifications, chemistry information, technical documentation, safety information, and supplier responses for completeness, consistency, currency, applicability, and alignment with customer product-compliance requirements.
    • Maintain accurate records of product compliance information, supporting documentation, requests, responses, and follow-up actions.
    • Track open actions, due dates, document expiration dates, supplier responses, and customer commitments.
    • Identify missing, conflicting, outdated, or incomplete information and coordinate corrective action with the appropriate owners.
  • Customer & Internal Support
  • Respond to customer requests for product compliance information in a timely, professional, and understandable manner.
  • Prepare customer-facing responses, declarations, questionnaires, certificates, statements, and supporting documentation.
  • Translate technical, regulatory, and supplier information into concise communications appropriate for the audience.
  • Coordinate with Sales, Customer Service, Product Management, Purchasing, Quality, Engineering, Legal, Environmental, Sustainability, and other internal stakeholders to resolve product compliance questions and maintain compliance throughout the product lifecycle, from sourcing through delivery.
  • Escalate requests involving material regulatory uncertainty, potential product restrictions, safety concerns, conflicting information, or significant customer or business risk.
  • Support customer audits, supplier reviews, internal assessments, and other information requests related to product compliance.
  • Supplier & Regulatory Coordination
  • Coordinate supplier outreach to obtain required declarations, certifications, material information, and other product compliance documentation.
  • Follow up with suppliers and internal stakeholders to resolve overdue, incomplete, or inconsistent responses.
  • Monitor regulatory and customer requirement changes, industry trends, and accepted best practices that may affect product information, documentation, or communications; assess potential impacts and communicate relevant updates to stakeholders.
  • Support preparation and submission of applicable product compliance reports, declarations, and regulatory filings, as directed.
  • Support impact assessments by identifying affected products, suppliers, markets, documents, and internal processes.

  • Data Governance & Process Improvement
  • Support the development and maintenance of product compliance data within applicable systems, databases, catalogs, and customer portals.
  • Establish clear documentation trails so that compliance information can be traced to its source and retrieval history.
  • Help develop standard response language, frequently asked questions, templates, and guidance materials to improve consistency and response time.
  • Support product onboarding, product changes, supplier changes, and market expansion activities by identifying required compliance information and documentation.
  • Contribute to process improvement initiatives that strengthen data quality, standardize workflows, reduce response time, and improve the customer experience.
