Job summary

Gilder Search Group is seeking a Procurement Specialist to manage post-sales order activities, coordinating with MCPC Sales teams, vendor partners, and clients to ensure accurate processing and timely fulfillment.

You will support CRM updates, maintain quotes and proposals, and handle returns, contributing to quality, cash flow support, and excellent customer experience. Strong communication and problem-solving are essential.

Qualifications

  • 1-2 years of relevant experience or Formal business education.
  • Customer service and/or Sales experience preferred.
  • Industry experience is a plus.

Responsibilities

  • Review, process and monitor order fulfilment functions.
  • Manage system integration functions (EDI, Ecommerce, Quote Exports) and vendor portals.
  • Maintain customer records and management of quoting and win/loss stages.
  • Communicate daily with customers, vendors and staff via calls and written messages.
  • Provide critical logistics updates to internal and external stakeholders.
  • Escalate vendor order issues with prompt documentation.
  • Research and resolve return requests and discrepancies.
  • Support post-order management with procurement team and clients.

Procurement Specialist
Overall Responsibility/Primary Objective of the Position

The Procurement Specialist manages post-sales order activities by working closely with MCPC Sales teams, vendor partners, and clients. Their main goal is to ensure orders are processed accurately, follow established workflows, and meet both client and MCPC expectations. They also support CRM updates, maintain quotes and proposals, handle returns per policy, and help ensure timely fulfillment. Overall, the role ensures quality, supports smooth cash flow, and delivers excellent customer experience.

Key Tasks and Responsibilities
  • Effectively manage customer order processes by reviewing, processing and monitoring order fulfilment functions
  • Manage system integration functions (EDI, Ecommerce, Quote Exports) and use of various client-specific vendor portals
  • Assist with required maintenance of customer records and management of quoting functions and win/loss stages related to client proposals & MCPC sales opportunities
  • Communicate daily with customers, vendors, and employees in a polite, professional manner through direct inbound, outbound, and team-based call manager queues both verbally and in writing.
  • Provide critical logistics communication points to internal and external stakeholders
  • Communicate and elevate vendor order issues by providing prompt notification and any required documentation or other necessary information
  • Research, process and resolve return requests and discrepancies
  • Work with Procurement Team members to provide general post order management support and issue resolutions to internal and external clients
Skills and Attributes Required

High level of business professionalism; Superior written and verbal communication skills; Problem-solving ability; Excellent time management, organizational, prioritization and multi-tasking skills.

  • Ability to effectively collaborate with others and foster long-standing business relationships; Strong work ethic.
  • Proficiency with basic office technology and business information systems required.
  • Proficiency in MS Office suite, including MS Excel preferred.
  • CRM experience preferred.
  • ERP systems (JDEdwards) and/or Great Plains experience are valuable but not required.
Experience and Educational Requirement
  • 1-2 years relevant experience or formal business education required.
  • Customer service and/or Sales experience preferred.
  • Industry experience a plus.
Physical Requirements

The physical requirements of this job include frequent sitting with occasional walking around, carrying light objects, grasping and reaching for things, rare stooping/crouching, clarity of vision, speaking and listening ability. The mental requirements of this job include general intelligence, motor coordination skills, coordination of hands, eyes and feet, verbal and numerical intelligence. The workplace environmental conditions are that of a temperature controlled and clean office setting. Occasional driving to other office or customer locations.

Regular attendance and punctuality are an essential job function of this position. In addition, the duties of this job need to be performed inside of our offices (unless authorized due to extraordinary circumstances by your manager and Human Resources) for the purpose of interaction and collaboration with colleagues and/or clients as necessary, the ability to adequately supervise the associate, and/or the availability of necessary equipment utilized for regular job functions. MCPc allows four pre-approved work at home days annually.
