Procurement staff currently re-key data between systems, classify requests by hand, check queues for new work, search repositories one at a time and write status letters that repeat emails. Agencies can't see where their request is. As our new Procurement Service Designer & Automation Lead you will map this work end to end, find what can be removed, simplified or automated, and then build or configure the fix yourself, often with AI, and put it in people's hands quickly.
You are a designer and a builder. You treat procurement staff and agency requesters as your users, test changes with them, and measure whether the work actually got easier.
Map and measure the service. Build and maintain service blueprints from the agency's and the buyer's point of view, and track where time is lost, where information degrades and where handoffs fail.
Run a requirements audit. With legal, the Department of Personnel and Administration (DPA) and the team, separate what is required by statute or rule from preference and tradition, and retire steps that add no protection.
Design the service. Redesign intake, status communication, scoping guidance and escalation and rush triage, using plain language, clear role definitions and lightweight standards that replace personal workarounds.
Build internal tools. Use AI-assisted development and low-code tools to automate repetitive work, for example request classification and routing, queue alerts, status notifications, drafting from templates, and search across agreements and vehicles.
Ship small and learn. Release working tools in days or weeks, gather feedback from the people using them, and iterate. Retire what doesn't help.
Make tools safe to rely on. Apply sound practices for security, data handling, accessibility and review of AI output, and work with OIT engineering on tools that need to scale or integrate with enterprise systems.
Bring people with you. Train and coach colleagues on new tools and ways of working, document what you build, and make sure no tool depends on you alone.
Shape the roadmap. Help define the team's improvement backlog and success measures, and show the evidence for what works.
