Job summary

Texas Organ Sharing Alliance in Texas seeks a Procurement and Inventory Coordinator (CST) to manage surgical recovery and safe preservation of donor organs at our recovery center. This role includes operating room logistics, ordering supplies, and maintaining inventory for packaging and data entry.

The position is full-time, exempt, with a 24-hour on-call rota and potential inter-regional travel. The coordinator must perform under stress, uphold aseptic techniques, and work with organ placement

Qualifications

  • Certified medical professional or Associate degree with 1+ year experience.
  • Teamwork, clinical, analytical, organizational, problem-solving and communication skills in a high-stress environment.
  • Requires installation and use of a company-approved location tracking application during travel.
  • Valid driver’s license and proof of automobile insurance.
  • Possesses a reliable personal automobile.
  • Physical ability to lift at least 50 lbs.
  • Travel by company or personal automobile or charter aircraft as required.
  • Maintains confidentiality of patient information.

Responsibilities

  • Coordinate surgical removal, preservation, and packaging of donor organs.
  • Serve as primary clinical supply purchasing agent and manage inventory.
  • Maintain inventory levels, par levels, and stock rotation procedures.
  • Establish material management to minimize waste and ensure efficiency.
  • Oversee equipment maintenance records and safety procedures.
  • Coordinate restocking and distribution to regional offices.
  • Ensure disposal of biohazard waste with proper documentation.
  • Communicate with organ placement staff and transplant centers.
  • Complete donor and OPTN data entry in a timely manner.
  • Adhere to Safety, Quality, and Multicultural Plans.

Job description

Texas Organ Sharing Alliance (TOSA), founded in 1975, is one of 57 federally designated Organ Procurement Organizations (OPOs) in the United States. TOSA is committed to a mission of saving lives through the power of organ donation by providing organ donation and recovery services to Central and South Texans wishing to donate, and to those waiting for a life-saving organ transplant. Recognized as a Top Employer, TOSA has staff members in Austin, San Antonio, and McAllen.

JOB SUMMARY:

The Procurement and Inventory Coordinator (CST) is accountable for all activities related to the surgical recovery and safe preservation of organs from donors at TOSA’s recovery center. This includes, but is not limited to, operating room logistics & communication, ordering & maintaining procurement supplies, and organ preservation & packaging. The coordinator must possess a variety of medical and social skills in addition to the ability to work independently and make critical decisions in a highly stressful environment.

WORK SCHEDULE:

The Procurement and Inventory Coordinator position is a full-time exempt position which shares 24 hour on-call responsibilities on a rotating schedule with other coordinators. Assignments may require 24 plus hours of continuous service during periods of increased activity, in addition to inter-regional travel.

Essential Job Functions
  • Provides coordination of all activities involved with the surgical removal, preservation, and packaging of organs recovered for transplant or research at TOSA’s recovery center
  • Serves as the primary clinical supply purchasing agent and ensures inventory of clinical supplies and equipment purchased at optimum pricing
  • Develops and maintains an effective inventory and par level of clinical supplies including ordering, receiving, stock rotation procedures, and placement into stock
  • Establishes a material management control system to minimize waste and ensure optimal efficiency
  • Oversees clinical equipment and instrument preventative maintenance program to ensure all equipment and instruments are in good working order and recordkeeping is accurate and timely
  • Responsible for the maintenance and safety of procurement equipment and supplies
  • Coordinates the restocking and distribution of clinical supplies to regional offices
  • Oversees expired or recalled supplies and removes from inventory or coordinates the removal for remote supplies
  • Ensures appropriate discard of biohazard waste including discarded organs, tissues, blood, and typing materials and maintains appropriate documentation
  • Demonstrates and adheres to principles of aseptic techniques
  • Procures organs for research according to established protocols
  • Communicates all pertinent information to organ placement staff and transplant centers.
  • Consults/updates the Administrator On-Call regarding clinical and technical aspects of authorization, organ donor evaluation, management, and organ allocation.
  • Completes/updates all data entry in a timely manner to include but not limited to TOSA’s donor information and OPTN records.
  • Compliance with TOSA’s Safety, Quality, and Multicultural Organizational Plans.
Additional Responsiblities
  • Participates in interdisciplinary quality meetings and post-donor review with team members and appropriate management staff.
  • Performs hospital rounds as assigned.
  • Reviews hospital data in a timely manner as required.
  • Participates with Hospital Development staff in the development of hospital policies, procedures and protocols related to organ donation and recovery and strategies for increasing organ donation.
  • Participates in education and training programs for hospitals, transplant programs, and the public.
  • Establishes and maintains effective working relationships with all levels of TOSA staff, hospital staff, and transplant center staff.
  • Acts as liaison to tissue/eye agencies regarding donation.
  • Assists in transporting and maintaining all equipment and supplies before and after donor cases.
  • Performs other duties as required.
Qualifications
REQUIREMENTS:.
  • Certified medical professional or associates degree with a minimum of 1 year experience. Other candidates will be considered if they possess knowledge or skills not currently present in the organization or skills judged necessary and beneficial to the organization’s stated mission.
  • Demonstrate teamwork, clinical, analytical, organizational, problem-solving, and communication skills in a high stress environment.
  • Requires installation and use of a company-approved location tracking application during work-related travel and while performing duties at off-site locations.
  • Working knowledge of standard office equipment (computer/fax/copier)
  • Valid driver's license and proof of automobile insurance.
  • Possesses a reliable personal automobile.
  • Physical requirement includes the ability to lift at least 50lbs.
  • Travel by company or personal automobile or commercial/charter aircraft required.
  • Maintains confidentiality regarding all patient and other confidential information.
