This role combines the responsibilities of purchasing with those of shipping and receiving, ensuring the smooth and efficient flow of materials, products, and supplies within our dynamic environment.
This role provides front-end administrative support through data entry, document management, and coordination with internal teams.
The ideal candidate is highly organized and proactive, with strong communication skills and the ability to juggle multiple priorities. This person will play a key part in streamlining processes, supporting daily operations, and maintaining effective communication across departments to improve overall workflow efficiency.
Purchasing Coordination:
- Collaborate with department heads and project managers to understand procurement needs based on ongoing projects, inventory levels, and organizational plans.
- Research and identify potential new suppliers, products, and materials to support company operations and projects.
- Place purchase orders for materials and supplies, ensuring accuracy in quantities, specifications, and delivery details.
- Monitor inventory levels and reorder points to prevent shortages and maintain optimal stock levels.
- Track orders and liaise with vendors to ensure timely deliveries while resolving any discrepancies or issues.
- Maintain accurate records of purchase orders, delivery information, and invoices in a structured database.
- Assist in managing expenses and budget tracking related to purchasing activities.
- Collaborate with departments to address special requests and accommodations for materials procurement.
Shipping & Receiving:
- Receive and process inbound shipments, including verifying quantities, inspecting for damage, and accurately recording goods received.
- Label, sort, and distribute incoming shipments to the appropriate departments or recipients within the organization.
- Communicate with internal teams to arrange pickups and deliveries, ensuring timely and efficient movement of materials.
- Prepare outbound shipments, ensuring accurate packaging, labeling, and documentation.
- Generate shipping labels, packing lists, and other necessary documentation for outgoing shipments.
- Coordinate with carriers and postal services to schedule pickups and deliveries, both domestically and internationally.
- Manage shipping records and maintain organized databases for tracking shipments, tracking numbers, and delivery statuses.
- Collaborate with vendors, carriers, and internal teams to resolve shipping-related issues promptly.
Qualifications & Requirements:
- Experience in Business Administration, Supply Chain Management, or a related field (preferred).
- Minimum of 2 years of experience in purchasing coordination and shipping/receiving roles.
- Proficiency in using procurement and logistics software tools and systems.
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Problem-solving aptitude and a proactive approach to addressing challenges.
- Familiarity with shipping carriers, packaging methods, and international shipping regulations.
- Team-oriented mindset with the ability to collaborate across departments.
