Department: Procurement

Job Title: Procurement Associate

FLSA Status: Exempt

Reports to: Chief Administrative Officer

1. Role Purpose:

The Purchasing Associate will procure designated materials, supplies, and equipment for KVK Tech departments and facilities, ensuring optimal quality, price, and delivery.

2. Key Duties and Responsibilities:
  • Purchase inventory, consumables, and services in accordance with company policies.
  • Ensure the best value is received on all purchases.
  • Communicate with vendors/suppliers regarding availability, ordering, price negotiation, and order follow-up.
  • Create purchase orders for all processed orders.
  • Ensure all facility needs are purchased to maintain efficient business operations with minimal downtime.
  • Generate purchase orders based on reorder points set in the inventory management system.
  • Periodically review reorder points for adequacy.
  • Recommend promotional, seasonal, and opportunistic buys outside reorder points.
  • Utilize resources to ensure just-in-time inventory whenever possible.
  • Collaborate with warehouse and retail management to ensure adequate stocking space.
  • Select suppliers and initiate relationships.
  • Maintain vendor relationships to ensure competitive pricing and favorable order terms.
  • Coordinate domestic and international shipments with freight companies.
  • Stay current with industry trends and stock innovative products in demand by customers.
  • Review stock turns and eliminate excess inventory based on market trends.
  • Minimize obsolete and clearance inventory through quick market response.
  • Provide analytics to management.
  • Operate office equipment safely and effectively.
  • Learn the operations of the Purchasing Department.
  • Process procurement activities in Syspro.
  • Source and procure raw materials, packaging components, and related documents for new drug products efficiently.
  • Coordinate with R&D to meet their requests promptly.
  • Manage information related to new drug products.
  • Perform other duties as delegated.

Education Requirements: Associates or Bachelor's degree in Business preferred.

5. Technical Competencies / Certifications / Licenses:

  • Strong reading, writing, and communication skills required.

  • Self-motivated with excellent organizational skills.
  • Ability to work cooperatively with others.
  • Knowledge of Microsoft Office products and telephone protocol.
  • High discretion when handling confidential information.

6. Physical Demands and Work Environment:

a. Physical demands include walking, sitting, using hands for handling tools, reaching, balancing, stooping, crouching, bending, talking, and hearing. Must lift/move up to 20 pounds. Vision requirements include close, distance, color, peripheral, and depth perception.
