Primary Purpose
Works under general supervision to ensure accurate receipt, handling, shipment manifesting, and processing of all research specimens received at ARUP's central facility. This position supports Clinical Trials Sample Management (CTSM) operations through shipment manifesting, specimen accessioning, data entry, aliquoting, special handling and coordination with internal laboratories and Innovation project management groups. The role requires the ability to process specimens across temperature types, ensure proper documentations and compliance with departmental procedures, and to support resolution of routine shipping and specimen issues.

Essential Functions
Manifesting & Shipment Handling
- Open, evaluate, and process inbound shipments using ARUP shipment tracking applications.
- Ensures specimens are prioritized appropriately and processed promptly.
- Adds and verifies temperature-control materials (e.g., dry ice) as appropriate.
- Evaluates shipments for late priority, temperature compliance, and special handling requirements.
- Monitors and manages Special Needs Requests, Short Stability Reports, and flagged specimens.
- Distributes Local, Room Temperature, FedEx, and isolated shipments to Innovation teams as required.
- Processes specimens across all three temperature conditions and routes to automated or manual systems accordingly.
- Coordinates with Specimen Processing, automated systems, or testing laboratories to ensure timely delivery.
Specimen Receipt & Processing
- Promptly process specimens as they become available following established corporate and departmental procedures.
- Evaluates inbound shipments; documents shipping discrepancies, temperature excursions, and other specimen acceptability violations.
- Ensures all specimens and accompanying documentation meet identification, labeling, and matching requirements.
- Enter patient demographics and accession specimens using appropriate ARUP applications, ensuring accuracy and completeness.
- Orders tests as indicated on requisitions and processes both manual and electronically transmitted orders.
- Properly labels de identified specimens and requisitions.
- Verify all specimen identifiers, labels, and paperwork match both physically and electronically, documenting discrepancies per procedure.
- Recognizes and appropriately handles all specimen types and prioritizations.
- Aliquots specimens using the proper safety equipment and procedures.
- Properly documents all specimen receipt and client provided information per policy.
- Processes specimens requiring rerouting or shared handling appropriately.
- Operates centrifuges and biological safety cabinets as required.
Systems, Tools, & Documentation
- Proficient in ARUP applications including accessioning, inquiry, shipment tracking, checkout, and applicable LIS platforms.
- Utilizes the Internal Test Directory (ITD) to support accessioning and team inquiries.
- Uses ARUP auto-ordering applications to ensure accurate and complete order uploads.
- Maintains accurate documentation and comments for accessioning and shipment records.
Quality, Safety, & Compliance
- Adheres to ARUP safety policies, specimen handling requirements, and PPE standards in accordance with CDC and OSHA regulations.
- Observes data security and patient confidentiality principles.
- Maintains ethical standards in interactions with coworkers and visiting clients.
- Supports Quality Review activities as assigned.
- Maintains department quality, productivity, and reliability expectations.
Communication & Collaboration
- Attends CTSM departmental meetings
- Facilitates communication between team members, project managers, and internal laboratories as needed.
- Exercises sound judgment and escalates issues to senior staff when appropriate.
General Duties
- Ensures workstations are clean, stocked, and compliant with safety standards.
- Performs routine cleaning duties and assists with departmental projects.
- Remains informed of current departmental specimen processing and manifesting procedures.
- Other duties as assigned.
Physical and Other Requirements
- Stooping: Bending body downward and forward by bending spine at the waist.
- Reaching: Extending hand(s) and arm(s) in any direction.
- Mobility: The person in this position needs to move between work sites and inside the office to access file cabinets, office machinery, etc.
- Effective communication skills
- PPE: Biohazard laboratory environment that requires use of personal protective equipment in accordance with CDC and OSHA regulations and company/departmental policies.
- ARUP Policies and Procedures: To conduct self in compliance with all ARUP Policies and Procedures.
- Abide by the Code of Conduct as outlined in the ARUP employee handbook.
- Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
- Fine Motor Control: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.
