Job summary

Octopus Legacy is seeking a Probate Team Manager to lead a team of 8–10 Probate Case Managers in London, ensuring estates are administered properly and on time. The role reports to the Senior Operations Manager and is based in the London office with 3 days on-site (Tue-Thu).

You'll coach, allocate cases, supervise files, and drive quality, compliance and customer experience across Octopus Legacy and Octopus Legal Services.

Qualifications

• Qualified Solicitor, CILEx or STEP with probate experience.
• Experience supervising or managing others in a legal setting.
• Ability to handle complex estates and client complaints.
• Comfortable with targets, data and MI.
• Organised, detail-focused and team-oriented.
• Empathetic with bereaved families and supportive leadership.
• Resilient, adaptable and calm under pressure.
• Willing to lead with kindness and drive meaningful work.

Responsibilities

• Lead, motivate and develop a team of Probate Case Managers with regular 1:1s and clear goals.
• Allocate new cases based on complexity, experience and capacity to balance workloads.
• Oversee files to align with SRA requirements and internal procedures, with regular reviews.
• Own complaints for your team and resolve them fairly within timelines.
• Track team performance against KPIs and SLAs using MI to identify blockers.
• Escalate complex technical issues and difficult client situations promptly.
• Ensure compliance with regulatory, data protection and quality standards.
• Recruit, onboard and train new team members and build a strong pipeline.
• Collaborate with Product, Operations and Tech to improve processes and CX.
• Report on team performance to the Senior Operations Manager.
