POSITION SUMMARY:
We have an exciting opportunity to join our team as a Program Coordinator.NYU Langone Health under the Researching COVID to Enhance Recovery (RECOVER) research initiative funded by the National Institutes of Health (NIH) was awarded over $450M to serve as the RECOVER Clinical Science Core (CSC). As the CSC, NYULH supports new studies of COVID-19 survivors and plans to partner with more than 200 study enrolling sites across the United States. Approximately 40,000 participants, including children, pregnant women adults, and decedents will be enrolled and followed for up to four years. The Program Coordinator position is within the communications team of the CSC whose purpose is to coordinate the development and implementation of main protocols; and execution of large clinical research studies for the RECOVER initiative. This is an interdepartmental effort that spans the Office of Science and Research, Department of Medicine, Department of Population Health and Medical Center IT. Responsible for providing broad range of complex program coordination related to communications efforts of the CSC. Responsible for assisting with the development and implementation of various newsletters for both external and internal audiences, supporting the creation of PowerPoints, and coordinating other communication projects as needed. The Program Coordinator for communications is also responsible for supporting best practices for using MS Teams to enhance communication within the internal CSC teams, as well as with the site PIs. Various programs under this responsibility include but are not limited to developing communication best practices, using new software and platforms to track communications and analyze their effectiveness, develop content for newsletters for each cohort of the studies, and other supportive functions to support the overall RECOVER communications plan.
JOB RESPONSIBILITIES:

RESEARCH COMMUNICATIONS ACTIVITIES – Design and prepare compelling infographics to use in interactive presentations, translating data and copy into visuals. Create a library of presentation templates that can be used by CSC members across departments; provide guidance to colleagues on the basic use of templates and available materials. Maintain presentation library, and other documents for internal use, tailoring a repository of general slides to each audience and event, on-demand. Build, edit, and publish communications content such as consortium-wide newsletters, announcements, special events such as webinars, etc.Master understanding of how to develop messages for different audiences. Organizes and maintains internal Communications workflow processes and files such as, but not limited to:
PROGRAM COORDINATION – Organize and maintain knowledge of administrative and operational activities related to RECOVER. Maintain internal communications through various platforms and technologies (e.g., PowerPoint presentations, newsletters, MS Teams, email, etc.) with great attention to detail, and excellent verbal and written communication skills, and time management. Provide moderate to advanced coordination for RECOVER activities to the Program Manager (PM) and Program Director (PD) of Communications that includes but not limited to: working/communicating with internal and external parties, respond to internal inquiries and refer more nuanced issues with recommendations to PM/PD.
SYSTEMS AND REPORTING – Analyze and provide insights related to internal engagement and communication metrics to help support and tailor communications strategy and work plan. Monitor communication platforms to ensure that campaigns are performing as expected, makingrecommendations to Communications team and informing leadership of changing trends. Support the Communications PM and PD by assisting with reporting requests, pulling relevant data, and summarizing results. Prepare and share data reports for communication exchanges, to track usage andeffectiveness of communications campaigns: newsletters, memos,presentations, and reports. Advanced analysis is required to present findings.
ADMINISTRATIVE SCHEDULING AND MODERATING – Service-oriented focus to the Program and adaptability to respond to various inquiries. Organize and coordinate schedules, activities, and special tasks. Coordinate preparation activities (checking and coordinating the logistics and technical support, and other related activities). Compile and maintain internal contact lists, help managing intranet site, ensuring information is accurate and up to date. Plan, arrange, outline and draft letters, memos, agendas, and meeting minutes. Reviews and maintains workflow, recommending improvement if applicable to efficiency and adherence to agreed timelines.
Participates in special projects related to RECOVER Communications and performs other duties as required.
MINIMUM QUALIFICATIONS:
To qualify you must have a Bachelor's degree in business administration, health care administration or related field. Minimum of four years of progressively responsible related experience including program/project coordination or equivalent combination of education and experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, Power Point and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to multi task and project manage.
PREFERRED QUALIFICATIONS:
Graphic design skills with proficiency using Adobe Creative Suite. Extensive experience with MS Office 365 including Teams, OneDrive, Excel, Word, and PowerPoint.
