The Private Brand Coordinator provides day-to-day structure, organization, commercial, and executional support for MIC Food’s private brand business across retail and wholesale channels. This role is critical to ensuring alignment across brokers, customers, and internal stakeholders by managing communication flow, documentation, CRM and pipeline accuracy, and sales process discipline.Reporting to the Director of Private Brand Sales, the Coordinator helps ensure that private brand opportunities are captured, tracked, and advanced efficiently through the sales cycle and coordinated continuously through the ongoing order cycles.
Sales and Customer Support
- Maintain CRM accuracy and coordinate timely follow up on new leads from trade shows, broker partners, and Director of Private Brands Sales.
- Conduct research to identify prospective retail and wholesale customers and support new prospect development.
- Track private brand opportunities, meetings, and next steps in Salesforce and maintain an accurate, current opportunity pipeline.
- Coordinate sample requests, pricing sheets, customer documentation, and follow-up materials.
- Assist in preparing customer‑specific presentations, sales materials, retailer proposals, RFP responses, and basic retailer and category research.
- Support brokers and the Director of Private Brand sales with sales tools and communication templates, customer follow up, and proposed materials.
Data and Process Management
- Maintain the master lead tracker and PLMA contact capture sheets and ensure information is accurately reflected in Salesforce.
- Organize and update pricing, pack formats, and lead‑time documentation, and customer and item setup requirements.
- Support the creation of customer presentations and sales, customer, and category data summaries.
- Assist in compiling post‑show and quarterly pipeline, and other reoccurring sales activity reports.
- Maintain structured timelines and action‑item trackers for active customer opportunities and commercialization projects.
- Support the documentation and improvement of repeatable private brand sales and commercialization processes, identifying delays or process gaps for review with the Director of Private Brands Sales.
Cross-Functional Support:
- Serve as primary point of contact for scheduling, document control, and information flow for the private brand business and active customer projects.
- Partner with Operations, Production, and Supply Chain to confirm product availability, load timing, production timing, and supply status.
- Liaise with Sales, Marketing, Procurement, R&D, Production, Supply Chain, Customer Service, and Finance on new item setup, customer requirements, commercialization activities, terms, and vendor onboarding steps.
- Coordinate cross‑functional follow‑up, timelines, documentation, and open action items to help move customer opportunities from initial discussion through product launch.
- Escalated delays, missing information, conflicting priorities, or other barriers that may affect customer commitments or project timing to the Director of Private Brands Sales.
Experience/Qualifications
- 2–5 years of experience in sales coordination, sales operations, customer support, commercial operations, business development support, or account support roles within CPG, food, grocery, wholesaler distribution, or related industries.
- Experience supporting sales teams, brokers, account managers, national accounts, or business development teams in a structured, deadline‑driven environment.
- Working knowledge of CRM systems, including opportunity and pipeline management; Salesforce experience is strongly preferred.
- Strong Excel proficiency, including the ability to manage trackers, pricing files, project timelines, reporting, and data summaries accurately.
- Demonstrated ability to manage multiple workstreams and customer opportunities, prioritize tasks, and maintain attention to detail under deadlines.
- Professional written and verbal communication skills; comfortable interacting with brokers, customers, prospects, and cross‑functional internal teams.
- High integrity, accountability, and reliability with strong follow‑through and the ability to anticipate and communicate next steps.
- Interest in building a career in private brand sales, commercial operations, frozen foods, CPG, and grocery retail or wholesale distribution.
- Experience supporting retailer onboarding, new item setup, product commercialization, customer proposals, or RFP responses preferred.
- Experience with ERP systems, including SAP, preferred.
Educational Background & Work Experience
- Bachelor’s degree in business, Marketing, Operations, Supply Chain, or related field preferred or equivalent relevant experience.
- Prior experience in sales support, coordinator, analyst, or commercial operations, sales operations, business development support, private brands or operations role within CPG, food manufacturing, grocery, or wholesale distribution environment.
- Experience coordinating samples, pricing documentation, customer presentations, proposals, retailer documentation, or follow‑up materials in support of active sales efforts and customer projects.
- Experience working cross‑functionally with Sales, Marketing, Procurement, R&D, Production, Operations, Finance, Customer Service, or Supply Chain teams.
- Exposure to broker‑managed sales models, trade shows, retailer onboarding, new items set up commercialization or customer‑facing sales processes preferred.
