Description

This class provides assessment and monitoring for adult offenders in the criminal justice system including pre-trial probation services and monitoring for defendants/offenders participating in jail diversion or court-ordered programs. Incumbents provide customer service and initial intake of clients following standard policies and procedures. Work may include conducting initial offender orientation; preparing offender intake packet; scheduling intake appointments; entering data into case management database; processing criminal record checks; preparing noncompliance correspondence; setting up client files; ensuring appropriate court orders are received for referrals, which may include travel to courthouse; performing general administrative tasks; and serving as backup to the receptionist.

Supervision Exercised/Received

  • Exercised: This classification typically does not supervise other employees.
  • Received: This classification typically reports to a supervisor.
  • Note: Other reporting relationships may apply.

Duties include but are not limited to

  • Answering and redirecting phone calls
  • Sorting internal and external mail.
  • Data entry.
  • Processing invoices, purchase orders, vendor payments, requisitions,
  • Composing meeting agendas and taking minutes.
  • Additional duties as assigned such as assisting with inventory supplies and performing program support functions.

This position is considered Essential, which means that the incumbent is required to work when the City is closed due to public emergencies, critical or hazardous conditions, or inclement weather.

This individual may be required to work nights, weekends, holidays or on-call, as needed.

Qualifications, Special Certifications And Licenses

MINIMUM TRAINING AND EXPERIENCE:

  • High School Diploma or GED
  • Two years of customer service and administrative support experience
  • Experience with computer programs such as Microsoft Office
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification.

Preferred Training And Experience

  • At least one (1) year of experience working with P2000 Security Card Issuance and card reader software.
  • At least one (1) year of experience working with RAPIDS ordering and requisition software.
  • At least two (2) years of experience monitoring IP-Configure camera systems.

LICENSING, CERTIFICATIONS, And OTHER SPECIAL REQUIREMENTS

  • None required

  • Computer programs such as Microsoft Office Suite
  • Electronic databases and related software applications such as PTCC, Case Management System, CAIS, Virginia Court System (VA Courts Online), IMATS, and the online probation check-in system
  • Eligibility requirements for probation with local probation (DAP) and state probation
  • Front desk processes and procedures to serve as Receptionist backup, as needed
  • Standard office equipment such as printers, fax machines, copiers, and scanners

  • Communicating with various internal and external departments
  • Conducting intake and assigning clients to supervision officers
  • Checking with supervisor for circumstances that do not following standard procedure
  • Entering new placements in specified database
  • Exercising limited discretion regarding duplicate data entries for new placement

  • Operating City of Richmond vehicles
  • Processing information under established procedures
  • Providing clarification of court order if client was referred to Division of Adult Programs
  • Reading

  • Utilizing a calendar to schedule office visits around officers' rotation schedule

PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT: Due to the nature of work assignments, incumbents must be able to perform detailed work on multiple, concurrent tasks, with frequent interruptions and under time constraint. The essential duties of this classification may require the ability to regularly walk, finger, grasp, feel, talk, hear, see, and perform repetitive motions; frequently reach and stand; and occasionally stoop. In terms of the physical strength to perform the essential duties, this classification is considered to be sedentary, exerting up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects.
