Responsibilities

  • Set up and maintain program files.
  • Manage administrative relationships with pre-law student organizations on campus and annually updating contact and leadership lists.
  • Act as team liaison with the University’s Career Center and compile resources for internship and employment opportunities in the legal field.
  • Track and analyze Pre-Law resources and allocate appropriately.
  • Maintain Pre-Law listserv and contribute to monthly newsletter.
  • Manage room reservations, catering, and other logistical support for all Pre-Law programming across campus.
  • Collaborate with the Pre-Law Advisor and Assistant Dean for Legal Studies for planning and execution of Law Week.

  • Plan and execute programming content about law fields with internal and external stakeholders.
  • Implement a robust feedback loop using surveys and assessments.
  • Coordinate with Law School Communications/Marketing to maintain Pre-Law webpage and materials.

Position Summary

The Pre-Law Advising Coordinator supports the Pre-Law Advisor in organizing and coordinating opportunities for pre-law students in career exploration and preparation for law school applications. The coordinator collaborates with the Pre-Law Advisor to create and offer dynamic and engaging programming content and to undergraduate students interested in law and policy. The coordinator manages relationships with organizations and industry partners to foster opportunities for undergraduate internships in the legal field, collaborating with campus partners in the Law School and the Career Center.

Key Functions and Expected Performance
General Pre-Law Programming Support
  • Set up and maintain program files.
  • Manage administrative relationships with pre-law student organizations on campus and annually updating contact and leadership lists.
  • Act as team liaison with the University’s Career Center, and compile and organize resources for internship and employment opportunities in the legal field.
  • Track and analyze Pre-Law resources and allocate appropriately.
  • Maintain Pre-Law listserv and collaborate with the Legal Studies Program Manager to contribute to monthly newsletter.
  • Manage room reservations, catering, and other logistical support for all Pre-Law programming across campus.
  • Collaborate with the Pre-Law Advisor and Assistant Dean for Legal Studies for planning, creation, and execution of the university’s annual Law Week.
  • Maintain a high level of discretion and professionalism to assemble and work with confidential and sensitive information related to matters of student grades and law school applications.
  • Plan and execute programming content primarily about law fields in collaboration with internal and external stakeholders, including, but not limited to, alumni, parents, law school admissions offices, and employers.
  • Implement a robust feedback loop for all programming, using surveys and assessments to continuously improve and adapt workshops and resources based on student needs.
  • Coordinate with the Law School Communications and Marketing team to maintain the Pre-Law Advising webpage, handout content, and other marketing/informational materials supporting students in legal careers.
  • Design event posters, fliers, signage, and conference materials. Maintain a library of image files for use in these designs. Familiarity with writing event descriptions and posting event information to Anchor Link and Handshake.
  • Maintain accurate statistical reporting of activities through Handshake and internal reporting systems. Work with the team to assess student outcomes and value of programming and services.
Financial Management
  • Coordinate complex meetings/conferences/event logistics and program budgetary activities including media services, printing services, catering, etc.
  • Ensure that events and all program activity are executed on or under budget as well as provide the necessary oversight of each program budget and related expenditures to ensure proper fiscal controls.
  • Prepare reimbursement requests and procurement orders for program activities with university COA and POET numbers.
  • Maintain documentation of program related expenditures; track expenditures and advise Pre-Law Advisor of remaining balance.
Supervisory Relationships

This position does not have supervisory responsibility. This position reports administratively and functionally to the Assistant Dean for Legal Studies at Vanderbilt Law School.

  • Willingness to take initiative and carry out manual labor tasks on your feet for long periods of time with some light lifting are necessary.
  • This position is in Nashville, TN and is expected to work in person and may have time periods requiring flexibility with hours and responsibilities outside of typical business hours (e.g., student organization meetings in the evening).
