Job Summary
To serve as the heartbeat of pre-construction in support of all activities related to soliciting, pricing, and proposing pre-construction phase services. Provide support for our pre-construction and business development team. Collaborate with internal/external teams, which may consist of: Clients, McFarland Construction teammates, teaming partners, suppliers, architects, and engineering partners, and other industry/community stakeholders. Support projects, and project teams within the existing company portfolio. Other projects/client initiatives may be added in the future
Key Responsibilities include:
- Provide administrative support to estimating team and pre-construction process from start to finish
- Creating all-new project files on ShareFile
- Printing drawings and RFP information (printing is only done as requested) for review
- Issuing Invitation to Bid (ITB)
- Tracking all project milestones on the estimating calendar including bid, RFI, and pre-bid meeting dates
- Communicating with trade partners via phone (PRIMARY) and/or email to find out the status of bids & tracking receipt of bids
- Managing SmartBid list for tracking no bids vs confirming intents to bid vs receiving bids
- Communicate to estimating lead when there is a risk of no participation in a trade package
- Sending out RFI responses, project notes, photos, site walk notes, addenda, and any other bid correspondence to trade partners (I.E., bid reminders, etc.)
- Managing estimating email regarding answering questions from trade partners and/or funneling those that need answers to the prospective estimating team lead
- Downloading and cataloging bids from trade partners in ShareFile folder
- Aide with getting trade partner contact information when pursuing out of market jobs
- Managing and updating estimating log for weekly Pre-Construction meeting
- Provide cost studies for per diem costs (I.E., flights, hotels, gas, rental car, etc.) for out-of-town projects (as needed)
- Pre-populating public bid documents and follow-up to coordinate all internal signatures, notaries etc. Preparing final bid package for submission to public entity.
- Managing the trade partner database for up-to-date contact information for bid solicitations
- Preparing all documentation & coordinate meetings for turnover to Operations when awarded bids
- Pre-populating and printing Construction Turnover Meeting (CTM) agenda
- Follow-up Operations to ensure all bid packages are released to awarded trade partners & closing out bidding process accordingly
- Requesting, receiving, reviewing for completeness, and cataloging trade partner pre-qualification statements
- Taking minutes/notes during preconstruction related meetings and distributing to meeting participants
- Attending pre-bid meeting site walks as needed to take notes, pictures, and in-field measurements
- Attending networking events and engaging with co-workers, trade partners, clients, vendors, etc. to build and maintain relationships.
Education & Additional Qualifications
- Associate’s degree or higher from an accredited college or business school is a plus
- 3 to 5 years of experience in commercial construction is a plus
- Advance expertise in Microsoft Office and database management is required
- Passion for being in a key support role that is critical to the Preconstruction team’s success
- Strong critical thinking skills
- Proactive problem-solving mentality
- Attention to detail is a must
- Experience with Adobe and Bluebeam software is a plus
- Strong verbal and written communication skills required
