Job Description:

ENT and Allergy Associates, LLP and Quality Medical Management Services USA, LLC are seeking a self-motivated, people-friendly full-time Practice Site Administrator Floater for our New York City (5 Boroughs) and Hoboken offices.

Salary: $58,000-$60,000/year

The purpose of this position is to manage all day-to-day responsibilities of a large office with staff exceeding five people.

Responsibilities include, but are not limited to:

  • Recruitment, training, evaluation, scheduling, and supervision of all personnel, directly or indirectly
  • Travel to all locations as needed
  • Assist with surgical scheduling coverage
  • Cover offices in various capacities as needed
  • Train staff on using IFOD functions (Icon/USB)
  • Ensure staff understands how to use Phreesia and the web portal; audit staff compliance and identify training needs
  • Educate staff on job requirements and expectations; collaborate with HR on staffing concerns; document personnel issues; counsel staff when necessary
  • Maintain office cleanliness and organization
  • Assist with phone calls, patient complaints, and coverage during staff absences
  • Handle escalated patient complaints and assist with billing and appointment issues
  • Review physician schedules daily to ensure appointment policies are followed
  • Create and review daily staff schedules, including hours, weekends, and vacations
  • Review daily work logs in NextGen, including ordering supplies and managing office budget and invoices
  • Reconcile petty cash and change drawer daily
  • Manage old accounts receivable and prepare related documentation if involved
  • Ensure daily deposits and proper documentation
  • Run KEPT reports and daily charge reports; audit staff compliance
  • Run claim edits and scrub errors post-charge drop
  • Maintain payment journals and accounts payable logs
  • Precertify and schedule surgeries, track monthly surgical data, and assist with referrals
  • Post surgical charges and hospital/ER consultations
  • Coordinate with doctors on schedules, insurance, and patient communication
  • Work with Billing Director to educate staff on billing and coding procedures
  • Hold regular staff meetings and communicate policy updates
  • Manage medical record requests and facility maintenance tasks
  • Learn and assist with training staff on new EMR systems
  • Reschedule appointments due to weather or emergencies, possibly after hours or weekends
  • Ensure phones are on service and manage on-call schedules
  • Occasionally cover in surrounding offices and facilitate inter-department collaboration
