Qualifications

  • At least 1 year of experience in optometry/ophthalmology or healthcare front office.
  • Experience with medical billing and insurance verification preferred.
  • Strong customer service and communication skills.

Responsibilities

  • Manage daily front-office operations, including patient check-in/check-out, scheduling, and follow-up.
  • Verify insurance eligibility and benefits before appointments.
  • Prepare, submit, and track medical and vision insurance claims.
  • Follow up on unpaid or denied claims and assist with accounts receivable.
  • Collect copays and payments; maintain transaction records.
  • Maintain patient demographics, records, and insurance information.
  • Coordinate referrals, authorizations, and communication with providers.
  • Assist patients with eyewear selection and basic optical questions.
  • Process and track orders for lenses and frames.
  • Maintain optical inventory and assist with ordering supplies.
  • Support outreach, recalls, appointment reminders, and follow-up care.

Company Description Eye Care for Detroit (ECFD) provides comprehensive mobile vision care to homebound seniors who are unable to access traditional clinics. Mobile optometry and ophthalmology teams deliver eye exams, disease detection, and same-day eyeglasses directly in patients’ homes, removing transportation and mobility barriers. Since 2022, ECFD has served more than 1,500 homebound Detroit seniors and is preparing for statewide expansion as Eye Care for Michigan in 2026. ECFD also operates a walk-in eye clinic at 7800 W. Outer Drive, Suite 150, Detroit, MI 48235, offering accessible in-person care for the local community.

We are seeking a highly organized, dependable, and proactive Practice Operations & Billing Coordinator to serve as a key administrative and operational support person for our growing eye care practice.

This role is ideal for someone who is comfortable wearing multiple hats and takes pride in keeping a medical office organized, responsive, and efficient. The successful candidate will support billing, insurance verification, patient scheduling, front-office operations, optical coordination, inventory, recordkeeping, and general practice administration.

We are looking for someone who does more than complete assigned tasks. This person should be able to own processes, follow through consistently, identify problems, communicate clearly, and help keep the practice moving forward.

Responsibilities

  • Manage daily front-office operations, including patient check-in/check-out, phone calls, scheduling, appointment confirmations, and follow-up.
  • Verify insurance eligibility and benefits before appointments.
  • Prepare, submit, and track medical and vision insurance claims.
  • Follow up on unpaid, denied, or rejected claims and assist with accounts receivable.
  • Collect copays, patient balances, and payments and maintain accurate transaction records.
  • Maintain accurate patient demographics, medical records, insurance information, and documentation.
  • Coordinate referrals, authorizations, outside records, and communication with healthcare providers when needed.
  • Assist patients with eyewear selection, frame fitting, measurements, and basic optical questions based on training and experience.
  • Process and track orders for lenses, frames, and other optical products.
  • Maintain optical inventory and assist with ordering supplies.
  • Coordinate with laboratories, vendors, providers, and community partners.
  • Support patient outreach, recalls, appointment reminders, and follow-up care.
  • Help maintain office procedures, checklists, workflows, and administrative systems.
  • Assist leadership with reporting, scheduling, correspondence, special projects, and operational follow-up.
  • Maintain patient confidentiality and comply with HIPAA and other applicable healthcare requirements.
  • Help ensure the office remains organized, professional, welcoming, and efficient.

Qualifications

  • At least 1 year of experience in an optometry, ophthalmology, medical, dental, or healthcare office required
  • Experience with medical billing, insurance verification, claims processing, or accounts receivable strongly preferred
  • Optical or optician experience preferred
  • Familiarity with eyewear, frames, lenses, prescriptions, and optical measurements is a plus
  • Experience with electronic medical records and practice-management systems preferred
  • Strong customer service and communication skills
  • Comfortable with basic math, payment processing, and reconciliation
  • Strong computer skills, including email, spreadsheets, scheduling systems, and office software
  • Ability to maintain confidential records and work within HIPAA requirements

Schedule

Part-time, in person. Schedule may expand based on organizational growth and performance.

Ability to Commute

Job Type: Part-time

Base Hourly Rate: $18.50 to $20.00/hr.
