The Practice Manager will oversee administrative operations in a medical group primary or specialty care office(s). Ensure the smooth and efficient functioning of one or more healthcare office(s) by managing administrative tasks, staff and schedules, and fostering a positive patient and employee experience.
The ideal candidate will possess excellent organizational and communication skills, along with a strong understanding of healthcare regulations and office management procedures.

Core Job Responsibilities

Administrative Oversight:

  • Manage day-to-day administrative operations of the medical office(s).
  • Oversee scheduling, appointment coordination, and patient registration processes.
  • Ensure compliance with healthcare regulations and maintain accurate medical records.

Staff Management:

  • Supervise, coach and provide feedback to improve staff productivity and efficiency.
  • Foster a positive work environment and promote teamwork among office staff.
  • Responsible for the training and supervision of staff members, fostering a culture of teamwork, accountability, and professional development.
  • In partnership with leadership and Human Resources, make decisions or recommendations related to performance management, hiring, transfers, corrective actions, terminations, etc. Resolve staff issues and grievances in a fair, timely and consistent manner, also in partnership with HR.
  • Oversee billing and coding processes, including insurance claims and patient billing.
  • Ensure appropriate co-pay and other receivable collections.
  • Collaborate with the finance department to develop and manage office budgets.

Facilities Management:

  • Coordinate maintenance and repair activities for the medical office.
  • Ensure a clean, safe, and welcoming environment for patients and staff.
  • Manage inventory of office supplies and equipment.
  • Serve as a primary point of contact for patient inquiries and concerns.
  • Implement policies and procedures to enhance the patient experience and satisfaction.
  • Address patient complaints and resolve issues in a timely and professional manner.

Compliance and Regulatory Affairs:

  • Stay up-to-date on healthcare laws, regulations, and industry best practices.
  • Ensure compliance with HIPAA regulations and other applicable healthcare standards.
  • Collaborate with legal and compliance teams to address regulatory issues and mitigate risks.

Quality Assurance:

  • Implement quality improvement initiatives to maintain high standards of patient care and satisfaction, including monitoring outcomes and implementing corrective measures when indicated.
  • Implement innovative systems to streamline operations, improve patient engagement, and enhance the delivery of healthcare services.
  • Support new technology implementation with Information Technology

Performs related duties as assigned.

Education/Experience Requirements

REQUIRED:

  • Bachelor’s degree in business administration, healthcare, a related degree or equivalent experience.
  • 3 years of experience in a healthcare setting.
  • 1 year of supervisory or lead experience.
  • Demonstrated leadership and interpersonal skills with the ability to motivate and inspire a team.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Proficiency in medical billing software and electronic health records (EHR) systems.
  • Knowledge of healthcare regulations, including HIPAA compliance.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to adapt to changing priorities and work well under pressure.
