Job summary

i-Orthodontics is seeking a Practice Manager to lead our team across multiple offices, with the Lone Tree hub as the main site. This full-time, onsite role requires travel between offices and a focus on smooth day-to-day operations.

The ideal candidate has at least two years of leadership experience, brings positivity and enthusiasm, and will mentor staff while ensuring excellent patient care and regulatory compliance.

Qualifications

  • Bachelor’s degree or diploma in business, office administration, or a related field (preferred).
  • Proven experience managing a team and coaching for success through excellent communication and interpersonal skills.
  • 3+ years in dental or healthcare environments (an asset).
  • Strong organizational and change management skills.
  • Strong financial management skills with fiduciary responsibilities.
  • Detail-oriented with ability to manage multiple priorities.

Responsibilities

  • Oversee daily practice operations across multiple office locations, including scheduling, patient correspondence, and third-party services.
  • Manage compliance with HIPAA/PIPA, OSHA, etc.
  • Maintain smooth patient flow by coordinating scheduling, team communication, and chair utilization.
  • Monitor and maintain practice budgets, accounts receivable, and end-of-month reconciliation.
  • Process insurance payments and refunds accurately.
  • Support marketing initiatives by representing i-Orthodontics at community events.
  • Partner with People & Culture and Talent Acquisition on recruiting and onboarding.
  • Support team training and ensure continuous professional development.
  • Promote exceptional patient care and resolve inquiries promptly.
  • Collaborate with doctors and support teams to enhance performance and efficiency.
  • Foster communication through daily huddles and team meetings.
  • Provide back-up support to Treatment Coordinator and Patient Concierge teams.

Balanced Schedule

Full-time, onsite role, Monday through Friday (40 hours per week).

What You’ll Do
  • Oversee daily practice operations across multiple office locations, including scheduling, patient correspondence, and third-party services.
  • Manage compliance with all regulatory standards (HIPAA/PIPA, OSHA, etc.).
  • Maintain a smooth, efficient patient flow throughout the day by coordinating scheduling, team communication, and chair utilization to ensure a seamless experience for patients and providers.
  • Monitor and maintain practice budgets, A/R, and end-of-month reconciliation.
  • Process insurance payments and refunds accurately.
  • Support the practice’s marketing initiatives — including participating in and representing i-Orthodontics at community and local events to strengthen patient engagement and brand awareness.
  • Partner with People & Culture and Talent Acquisition on recruiting, onboarding, and retaining team members.
  • Support team training and ensure continuous professional development.
  • Promote exceptional patient care and resolve inquiries promptly.
  • Collaborate with doctors and support teams to enhance performance and operational efficiency.
  • Foster communication through daily huddles, team meetings, and shared communication tools.
  • Provide back-up support to the Treatment Coordinator and Patient Concierge teams, including facilitating new patient consultations, scheduling appointments, and ensuring an exceptional patient experience.
About You
  • Bachelor’s degree or diploma in business, office administration, or a related field (preferred).
  • Proven experience managing a team and coaching for success through excellent communication and interpersonal skills. Passionate about leadership, growth, and creating a positive team culture.
  • 3+ years in dental or healthcare environments (an asset).
  • Strong organizational and change management skills.
  • Strong financial management skills and experience with fiduciaryresponsibilities, includingsafeguarding practice resources, monitoring expenditures, and ensuring appropriateuse of funds.
  • Highly organized with a keen eye for operational flow and patient scheduling efficiency.
  • Detail-oriented with strong organizational skills and the ability to manage multiple priorities with accuracy and efficiency.
  • Confidently represents the practice at community events and builds positive relationships within the community.
  • Proficient with basic technology tools and systems, including digital communication and office software.
