Job Summary: Practice Coordinator

The Practice Coordinator is accountable for assisting and supporting the Health Center Practice Manager with the day-to-day management of administrative, financial, operational oversight of their assigned site(s) and departments, including but not limited to performance improvement initiatives and resource management. The Practice Coordinator proactively contributes to Jane Pauley CHC, Inc. mission; to provide accessible, respectful, and integrated healthcare to all regardless of insurance status.

Essential Duties and Responsibilities include the following. Other duties may be assigned:

  • Provides supervision of frontline staff and the overall operation of site(s), department(s), and/or programs.
  • Understands and effectively communicates the strategic goals and rationales to others.
  • Engages and collaborates with Health Center Practice Manager, Chief Operating Officer, Chief Medical Officer, Director(s), and Human Resources, to hire, terminate, evaluate, train/orient, and implement corrective/disciplinary actions in accordance with the policies of The Jane Pauley CHC., Inc.
  • Ensures training of all frontline new associates including not but limited to quality initiatives, best practices, risk and regulatory guidelines, etc.
  • Completes the review of performance, quality data and clinical outcomes in collaboration with the clinical supervisor, practice manager, and quality department.
  • Completes and documents rounding on frontline staff and the prescribed frequency based on the number of direct reports.
  • Serves as the first point of contact to assist with patient experience concerns onsite. Maintains/monitor patient experience efforts at the site. Maintains/updates the monthly/quarterly reports.
  • Ensures the implementations and utilization of the quality and daily work principles to ensure and foster teamwork and engagement.
  • Disseminates information, initiatives, and data discussed in leadership meetings to all staff.
  • Implements and monitors site budget and cost control standards; ensures site operates effectively and efficiently within budgetary/financial parameters.
  • Prepares monthly office supply order for the site and maintains an inventory of supplies on hand
  • Utilizes critical thinking skills to effectively manage schedules/templates, staff, and services to maximize peak operational efficiency and promote growth and patient access.
  • Ensures the use of reengineering tools to decrease no show rates, increase capacity utilization, and decrease cycle time are operationalized.
  • Determines information needed for patient registration and provides appropriate documentation.
  • Determines and verifies insurance status and/or patient’s eligibility for financial assistance programs and collects appropriate documentation from patients and patients’ family.
  • Collects patient co-payments and practices proper money handling as defined by JPCHC standards.

Education and/or Experience

  • Bachelor’s degree in business, management, or health care field.
  • A minimum of three (3) years of healthcare, leadership, or business management experience may be substituted in lieu of bachelor’s degree educational requirements.
  • At least one year of experience in an ambulatory healthcare setting preferred.
