Job summary

Vituity seeks a Practice Coordinator to support operational programs, coordinate meetings, and serve as a liaison between practice leadership and hospital administration. You will manage communications, provide administrative support to the Practice Medical Director, and handle routine office functions to ensure smooth day-to-day operations.

The role requires strong MS Office skills, healthcare knowledge, and the ability to work under deadlines.

Qualifications

  • High School diploma or equivalent and 0-2 years of administrative experience in an office or healthcare setting.
  • Associate degree in related healthcare field preferred.
  • Experience working in healthcare preferred.
  • Knowledge of healthcare terminology.
  • Intermediate MS Excel, Word, PowerPoint, and Outlook skills.
  • Strong consultation, organizational, and interpersonal skills.
  • Ability to work under deadlines and communicate effectively.

Responsibilities

  • Support key operational programs and coordinate meetings.
  • Serve as the primary practice coordinator liaison between practice, hospital administration, and stakeholders.
  • Facilitate communication between Vituity departments, provider teams, and hospital leadership.
  • Provide administrative support to Practice Medical Director and leadership team.
  • Perform general office functions including meeting coordination, supplies, and event planning.
  • Provide technical support and system navigation guidance to providers and staff.
  • Act as super user for Vituity software platforms and point of contact for hospital systems.
  • Collect and report essential practice data metrics.
  • Support recruitment and onboarding for providers, employees, and students.
  • Attend daily rounds and assist with patient census creation.
  • Assist with legal matters routing subpoenas and coordinating with malpractice carriers.
  • Ensure uninterrupted patient care by coordinating schedule coverage.
  • Liaise with HR and CPAC to maintain practice roster and compliance with employment laws.
  • Support licensing, credentialing, and recredentialing timelines.
  • Monitor compliance with training requirements and other operational requests.
  • Oversee WIP and TIPR/Billing documentation and respond to inquiries.
  • Ensure mandated forms submission and timely data submissions to Revenue Cycle.

The Opportunity
  • Support key operational programs, such as Operations Meetings, the Patient Experience Program, Quality/Performance Improvement initiatives, Advanced Provider and Scribe Programs, and student or resident clinical rotations.
  • Serve as the primary coordinator for practice-level Vituity leadership, acting as a liaison between the practice, hospital administration, and stakeholders, as appropriate.
  • Facilitate communication and coordination between the Vituity departments, the provider team and hospital leadership, including C-Suite executives, nursing leadership, clinical staff, and Vituity support teams.
  • Provide administrative support to the Practice Medical Director and practice leadership team to ensure smooth day-to-day operations.
  • Perform general office functions including meeting coordination, supply and equipment ordering, practice event planning, procedure manual upkeep, and frontline customer service.
  • Provide technical support and system navigation guidance to providers and staff as needed.
  • Act as the super user for all Vituity software platforms and serve as the key contact for hospital software and hardware systems.
  • Collect and report essential practice-level data metrics, as applicable to the practice
  • Partner with the Medical Director and/or Practice leadership Team to support the recruitment and onboarding process for new providers, employees, locum tenens, champions, residents, and students.
  • Attend daily multidisciplinary rounds and assist with creating the daily patient census, as applicable to the practice’s practice line.
  • Assist providers involved in legal matters routing subpoenas, scheduling depositions and testimony, developing provider fee schedules, and coordinating with malpractice carriers, as appropriate.
  • Ensure uninterrupted patient care by coordinating and securing clinical schedule coverage as needed, in alignment with practice-specific requirements.
  • Act as the liaison for Vituity People Operations (HR) and Partnership Affairs (CPAC), maintaining an accurate practice roster and supporting adherence to employment laws and company policies.
  • Support provider compliance with licensing, credentialing, training requirements, and recredentialing timelines.
  • Monitor and support compliance for all practice team members with Vituity and hospital‑mandated programs, training requirements, and other operational requests.
  • Support billing and documentation compliance by overseeing the completion of practice Work in Progress (WIP) and Turn Around Documentation (TAD or TIPR) lists, and by addressing routine provider documentation inquiries.
  • Ensure timely completion and submission of mandated forms and requests, including but not limited to death certificates, physician office documentation, state‑specific Workers’ Compensation and Motor Vehicle Department reports, and pharmacy‑related requests.
  • Ensure medical records and data submissions to Revenue Cycle Management in a timely and accurate manner, utilizing the designated system and issuing follow‑up communications as needed, in alignment with the practice line.
Required Experience and Competencies
  • High School diploma or equivalent and 0-2 years of experience in an administrative capacity in an office or healthcare setting required
  • Associate degree in related healthcare field Preferred.
  • Experience working in the healthcare field Preferred.
  • Knowledge of healthcare and medical terminology.
  • Intermediate MS Excel, Word, PowerPoint, and Outlook skills
  • Strong consultation skills and the ability to seek out information.
  • Strong work ethic, organizational skills, and interpersonal skills.
  • Ability to prioritize and work in a stressful environment.
  • Ability to be self‑directed, motivated, and sensitive to deadlines.

We are excited to share the base salary range for this position is $22.90 - $28.63 exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company’s annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
