Job summary

Thyme Care is seeking a Practice Coordinator to support our healthcare providers by delivering seamless remote administrative and patient care coordination, ensuring efficient telehealth visits and patient experience.

This non-exempt, full-time role offers $21/hour within the lower 48 United States, with benefits including medical, dental, vision insurance and generous vacation. You should be organized, tech-savvy, and comfortable working in a fast-paced remote environment.

Qualifications

  • Bilingual preferred or AM availability.
  • Experience in administrative roles, virtual assistance, or telehealth support is preferred.
  • Experience in oncology settings is a plus.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency with EHR systems and telehealth platforms; basic tech troubleshooting.
  • Patient-centric, compassionate approach with high-quality care.
  • Ability to work independently in a fast-paced remote environment.

Responsibilities

  • Schedule, reschedule, and confirm (virtual) patient appointments.
  • Manage provider calendars and resolve scheduling conflicts.
  • Initiate and troubleshoot telehealth visits; guide patients through setup.
  • Collect member consents for virtual appointments and verify benefits.
  • Process and send clinical notes, referrals, and consents to providers; maintain EHR accuracy.
  • Assist NPs/MDs with documentation, forms, and prescription requests; ensure HIPAA compliance.

WHAT YOU’LL DO

As a Thyme Care Practice Coordinator, you will play a crucial role in supporting our healthcare providers by delivering seamless remote administrative and patient care coordination. Your efforts will ensure efficient telehealth visits, enhance patient experience, and contribute to the overall success of our virtual care operations.

Key Responsibilities
Scheduling & Patient Coordination
  • Schedule, reschedule, and confirm (virtual) patient appointments.
  • Manage provider calendars and resolve scheduling conflicts.
Telehealth Support
  • Initiate and troubleshoot telehealth visits for patients and providers.
  • Guide patients through virtual check-in and technology setup.
Administrative Duties
  • Collect member consents for virtual appointments.
  • Verify insurance benefits and collect copays/deductibles.
  • Process and send clinical notes, referrals, and consents to providers.
  • Maintain accurate electronic health records (EHR) and patient data.
Provider Support (Non-Clinical Tasks)
  • Assist NPs/MDs with documentation, forms, and prescription requests.
  • Ensure HIPAA compliance during virtual interactions and data handling.
Qualifications
  • AM Availability / Bilingual
  • Prior experience in administrative roles, virtual assistance, or telehealth support preferred.
  • Oncology experience preferred.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency with EHR systems, telehealth platforms, and basic technical troubleshooting.
  • Compassionate, patient-centric approach with a commitment to high-quality care.
  • Ability to work independently in a fast-paced remote environment.
WHAT YOU’VE DONE
After your first three months, you will:
  • Have completed training and be up to speed on Thyme Care tools, processes, and expectations.
  • Be comfortable with and correctly follow Care Team policies and procedures, escalation pathways, communications best practices, and documentation standards.
  • Generate daily member reports and assist with day-to-day functions to help prepare our healthcare provider team for consultations.
  • Provide inbound telephonic, text, fax, and email support for our members.
  • Be able to identify and triage a member's needs to connect them with our Care Teams for clinical support and care coordination.
  • Schedule patient and provider visits.
  • Contribute to special projects or data entry, including the growth of our virtual medical practice and stop-gap process execution.

This is a non-exempt, full time position. The pay rate for this role is $21/hour. To perform this role you must be located within the lower 48 United States due to contractual limitations with accessing PHI.
