Medical surgical practice, located on the California Central Coast.


Job Summary

Reporting to the Executive Management team, the Practice Administrator will manage the daily business operations, financial performance and regulatory compliance for the practice. The ideal candidate will oversee revenue cycles, supervising clinical and administrative staff, patient insurance administration, doctors’/practice’s licensing/credentialing renewals, implement policies to improve workflow, office administration and optimizing practice performance, while maintaining high standards of patient care and services. Cultivate a workplace culture aligned with company values, to support high retention and low turnover.


Duties / Responsibilities

Financial

Manage fiscal responsibilities of the practice to include budgeting, financial management, billing processes and cost control measures, to optimize practice profitability;


Prepare and reconcile payroll on a biweekly basis for external processing;


Reconcile credit card accounts for the practice and individually for the physicians;


Perform Accounts Payable function and post to the General Ledger;


Oversee purchasing of office and medical supplies related to the practice; act as liaison with all vendors involved in these transactions;


Financial year-end reporting done in conjunction with external CPA firm.


Staff Management

Provide supervision of staff;


Recruit, onboard, train, mentor, provide disciplinary actions, conflict resolution, oversee annual reviews, promotions and terminations;


Set staff schedules to ensure adequate coverage on a daily/weekly basis;


Approve PTO requests and ensure out of office staff coverage thereof;


Set staff productivity expectations and recommend staffing adjustments to optimize efficiency;


Oversee medical administrative support functions such as medical billing, coding accuracy, medical records management and adherence to HIPAA privacy standards.


Office Administration

Execute strategic business plans to drive market growth, operational efficiency and process improvement;


Oversee all daily operations within the practice, to ensure smooth workflow;


Provide Workers Compensation policy management and perform audit requirements;


Ensure compliance with healthcare regulations including HIPAA, JCAHO standards, OSHA, health policy updates, safety protocols and risk assessments;


Maintain electronic patient health records and upgrades;


Manage software for billing and schedule maintenance and upgrades, when necessary;


Maintain and renew, when necessary, all physicians’ credentials, equipment/business licensing and professional memberships;


Manage and maintain all electronic portals to include, PECOS, NPPES, CURES, MIPS, EFT, CAQH;


Manage the practice and physicians’ corporate records and regulatory compliance requirements.


Insurance

Maintain all insurance companies’ portals to include Medicare and Tricare; provide Medicare revalidation, when required;


Provider periodic validation for all insurers doing business with the practice;


Maintain and renew insurance companies’ credentialing;


Stay current on insurance companies’ policy changes.


Qualifications

Bachelor’s Degree in Healthcare Administration, Business Management, or related field;


4 – 7 years of medical office management experience, preferably within a surgical specialty;


Proficiency with electronic healthcare records management (EHR/EMR) systems, medical billing platforms, various industry-related software applications, together with advanced MS Office suite skills;


Experience with medical billing, CPT coding, general accounting, human resources and IT management, accreditation requirements and healthcare compliance standards;


Able to produce complex documents, perform analysis and maintain databases;


Ability to develop and execute business plans and achieve strategic marketing and operating goals;


Ability to manage, develop and motivate employees;


Astute time management, attention to detail, accuracy, analytical, organizational, planning, multi-tasking, problem-solving and follow-through skills;


Exceptional oral and written communication and interpersonal skills.


Compensation

$95,000 - $120,000 base salary DOE, for this full-time, exempt position.
