Job summary

Responsibilities

  • Review closed mortgage files to identify defects and missing information.
  • Research and resolve deficiencies according to procedures and requirements.
  • Obtain final or corrected documents from third parties.
  • Validate execution, lien positions, and government-backed loan requirements.
  • Document findings and resolutions in systems and track progress.
  • Monitor deficiencies and ensure timely receipt of corrected docs.
  • Communicate with internal/external partners to resolve issues.
  • Scan, image, and route documents to appropriate departments.
  • Escalate process or system issues to management.
  • Support additional duties or projects as needed.

Job Title: Mortgage Operations Professional
Location: Cincinnati, Ohio
Duration: 12 months

Heitmeyer Consulting is currently hiring a detail-oriented mortgage operations professional to support post-closing loan review, document correction, and file completion activities. This professional will review residential mortgage loan files, identify and resolve documentation deficiencies, and help ensure completed files satisfy applicable agency, investor, regulatory, and secondary-market requirements.

The ideal candidate is organized, comfortable working with detailed documentation, and able to communicate effectively with internal teams, external partners, settlement agents, lenders, and government offices. This position requires the flexibility to shift priorities and assist with additional responsibilities or projects as business needs change.

The Mortgage Operations Professional will support post-closing review and loan file completion activities and will be accountable for:

  • Reviewing closed mortgage loan files to identify documentation defects, missing information, and other issues that may affect file completeness or salability
  • Researching and resolving deficiencies according to established procedures and applicable state, county, investor, and agency requirements
  • Obtaining final or corrected documents from settlement agents, lenders, county offices, and other third parties
  • Validating documentation for:
    • Proper execution and recording
    • Lien position and title-related requirements
    • Secondary-market and investor guidelines
    • Government-backed loan requirements, including FHA, VA, and Rural Housing
  • Accurately documenting findings, corrective actions, and resolutions in mortgage origination, servicing, and tracking systems
  • Monitoring outstanding deficiencies and ensuring corrected documentation is received within established deadlines
  • Communicating with internal teams, external partners, and government offices to resolve documentation and closing-related issues
  • Scanning, imaging, organizing, and routing completed documents to the appropriate departments
  • Identifying process or system issues and escalating concerns to management when appropriate
  • Supporting additional responsibilities, assignments, or projects as business needs change
Required Skills:
  • High school diploma or equivalent.
  • Proficiency with Microsoft Office applications.
  • Strong general computer skills, including typing, scanning, filing, imaging, document retrieval, and mail handling.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to organize work, manage time effectively, and meet production deadlines.
  • Ability to proactively identify and resolve problems.
  • Ability to work effectively in a fast-paced, process-driven environment.
  • Willingness and ability to adapt to changing priorities and support additional job duties or projects.
Nice to Have (but not required):
  • At least one year of experience in mortgage closing, post-closing, loan processing, real estate documentation, financial services, or a related area.
  • Knowledge of residential mortgage documents and loan processes.
  • Experience with title work, document recording, or lien-related documentation.
  • Familiarity with mortgage loan origination or servicing systems.
  • Understanding of secondary-market, investor, or government-insuring agency requirements.
