Job summary

Jackson Walker in Dallas is seeking a Post-Closing Clerk to support all client closings and complete post-closing matters. Under supervision, you will handle file preparation, coordinate with lenders for filings, and maintain confidentiality across firm documents.

Qualifications

  • Bachelor's degree from an accredited college or university required.
  • Six (6) months of prior filing experience necessary in order to gain an understanding of filing policies and procedures and effectively operate equipment with minimal supervision.
  • Excellent communication, grammar, spelling, and punctuation are essential.
  • Proficient with MS Office and document management systems used in a law office.
  • Ability to proofread and edit routine law office correspondence and documents.
  • Ability to maintain records and filing systems and assemble files.

Responsibilities

  • Preparation of closing binders and files for closing.

  • Manages post-closing items and tracks progress.
  • Gathers research of legal documents and public records to verify information on properties.

  • Manages and tracks files that are checked out to other staff.
  • Assists with pulling client invoices, marking paid and filing paid invoices.
  • Review of due diligence submissions.
  • Performs other work-related duties as assigned.

Post-Closing Clerk

FLSA Status: Non-Exempt

Department: Finance

Reports To: Office Administrator

Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for a Post-Closing Clerk in our Dallas office. Under general supervision and according to established policies and procedures, the Post-Closing Clerk is responsible for assisting with all client closings, completing post-closing matters for clients, and consistently observing confidentiality in all client and Firm matters. This position allows for growth opportunities.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Preparation of closing binders and files for closing.
  • Compiles final agreements and exhibits for signature.
  • Coordinates with lending clients to ensure proper filing of post-closing documents.
  • Manages post-closing items and track progress.
  • Gathers research of legal documents and public records to verify information on properties.
  • Routes information on all new files to attorneys in Firm.
  • Maintains the client files within the section filing room.
  • Manages and tracks files that are checked out to other staff.
  • Assists with pulling client invoices, marking paid and filing paid invoices.
  • Review of due diligence submissions.

QUALIFICATIONS
  • Exemplary communication skills, both written and verbal demonstrated understanding of correct grammar, spelling, and punctuation.
  • Interpersonal skills and customer-service mindset necessary to receive and convey information to a diverse group of clients, attorneys, and staff with courtesy and tact.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Able to coordinate multiple tasks concurrently and meet deadlines while maintaining a professional demeanor.
  • Ability to handle confidential documents and information appropriately.
  • Highly motivated to grow within the position and beyond.
  • Strong computer proficiency in the use of MS Office Suite (Word, Excel, PowerPoint and Outlook).
  • Proficient working knowledge of legal management software and experience with a document management system (iManage experience a plus).
  • Ability to proofread and perform editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and documents.
  • Ability to maintain records and filing systems; assemble files and file information utilizing prescribed filing guidelines.
  • Familiarity with the operation of telephone console and general office equipment (i.e., photocopier, telecopier machines).
  • Physical requirements are:
    • Sighted
    • Good hearing and clear speaking voice
    • Dexterity with hands and fingers
    • Must be able to lift light weights such as files and boxes (up to 20 lbs)
Education
  • Bachelor's degree from an accredited college or university required.

Working Conditions
  • Normal office environment with little exposure to excessive noise and temperature.
