High school diploma or equivalent and 2 years of related experience
Preferred Qualifications
- 2 years experience in a HR or position management
- Experience with UGAjobs, OneUSG Connect, and other UGA payroll and hiring systems
Position Summary
The Position Management Specialist is primarily responsible for working with departments and the Position Management and Recruitment Coordinator to ensure the timely and accurate processing of job postings and position requests. The Position Management Specialist will work with University HR and FMD to provide support in the onboarding process of all new FMD employees and keep accurate and up-to-date records pertaining to the hiring process. The Position Management Specialist will also provide support to the FMD HR Office as needed for special projects and departmental goals.

- Ability to analyze complex information, define and solve problems, and accurately draw appropriate conclusions.
- Demonstrates excellent organizational skills and be able to work effectively in a fast paced environment while prioritizing multiple tasks.
- Detail Oriented
- Ability to work independently as well as in a team environment.
- Proficiency is MS Excel/ Word
- Ability to maintain and uphold confidentiality
- Ability to understand and work within HCM systems (UGAJobs, OneUSG Connect)

Job Postings
- Review all vacated positions and work with the Position Management & Recruitment Coordinator to determine if an evaluation or modification is needed.
- Submit position evaluations or modifications in preparation for posting
- Assist in creating appropriate job descriptions
- Timely creation of job postings in UGAjobs
- Assist departments in adding search committee members to existing job postings
- Keep up to date and accurate records of FMD job posting information
- Create hiring folders and distribute to Hiring Managers
Percentage of time 40 Duties/Responsibilities
Hiring & Onboarding
- Review and approve FMD offer letters submitted by departments, and assist with offer letter creation.
- Prepare Hiring Proposals for submission within UGAjobs
- Submit appropriate documentation to Hiring Proposal when needed, including salary actions and justifications.
- Assist candidates with background check requirements/questions
- Confirm start date and work with FMD departments to ensure a smooth and positive onboarding experience
- Prepare new hire paperwork and work with the HR Assistant to ensure timely and accurate creation of personnel folders.

General HR Duties
- Serve as HR Representative on FMD interview panels as needed
- Assist in the planning and implementation of FMD Job Fairs
- Respond to helpdesk position management inquires
- Provide excellent customer service to all FMD and UGA employees.
- Cross-train with other functional areas within FMD HR to provide back-up
- Assist with various needs and special projects within FMD HR; administration of FMD HR’s helpdesk ticket system including but not limited to reporting, data analysis, developing, and modifying
