Qualifications

  • Monitor past-due loans; coordinate follow-up with borrowers, relationship managers, and legal counsel; evaluate risk-rating changes and repayment options; prepare liquidation or OIC plans.
  • Apply SBA SOP requirements and use SBA reporting tools (eTran, 1502 Dashboard, SBA One, PARRIS); support post-closing documentation and SBO compliance.
  • Compile and report portfolio data; meet delinquency management, covenants, reviews, and reporting deadlines; support management decisions and SBA guaranty protection.

Job description

The SBA Portfolio Manager is responsible for servicing, monitoring, and administering the bank's SBA loan portfolio after closing. The position manages servicing actions, covenant and tickler tracking, annual reviews, collections, problem-loan resolution, liquidation support, guaranty claims, and portfolio documentation. This role applies SBA requirements, federal regulations, and internal credit policy to protect the SBA guaranty and maintain accurate, timely portfolio administration.

The ideal candidate brings strong SBA servicing knowledge, sound credit judgment, disciplined follow-through, and the ability to manage competing priorities while providing responsive support to borrowers and internal partners.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Loan Servicing and Customer Support
  • Respond to borrower inquiries and maintain accurate loan and customer information in core systems, including PCFS and SBA eTran.
  • Process servicing actions such as draws, modifications, subordinations, collateral changes, repayment arrangements, reconciliations, and payoff requests.
  • Prepare complete servicing packages, obtain required internal approvals, coordinate SBA or investor consent when applicable, and support closing and funding for approved borrower requests.
Tickler and Covenant Administration
  • Request, track, review, and document required financial statements, insurance, tax records, licenses, life insurance, and other covenant items.
  • Maintain current ticklers, covenant records, UCC continuations, and supporting documentation in loan files and imaging systems.
Annual Reviews and Portfolio Monitoring
  • Spread and analyze business and personal financial statements, monitor debt service coverage, assess credit performance, and identify emerging risks.
  • Complete annual reviews, reaffirm existing risk ratings or recommend changes, and maintain documentation that supports portfolio monitoring and guaranty protection.
  • Maintain accurate collateral, valuation, draw, closing, and reporting data across assigned loan files.
Past-Due Loans, Collections, and Problem-Loan Management
  • Monitor past-due loans, distinguish true delinquencies from system or processing issues, and coordinate timely follow-up with borrowers, relationship managers, the Rehab Team, the SBA Credit Manager, and legal counsel, as applicable.
  • Evaluate and recommend risk-rating changes, repayment options, collateral actions, valuations, appraisals, liquidation strategies, and required SBA notifications in accordance with policy and SBA requirements.
  • Prepare and compile documentation for proposed liquidation plans and legal action plans, present recommendations for internal approval, and obtain SBA approval when required.
  • Collect, analyze, prepare, and present SBA Offers in Compromise (OICs) for internal approval, including required supporting documentation, financial analysis, recovery rationale, and SBA approval when applicable.
  • Coordinate approved liquidation, foreclosure, collection, and legal activities with internal stakeholders, counsel, and other third parties, and maintain complete records of decisions, approvals, and actions taken.
  • Prepare guaranty-purchase and claim materials, support liquidation or foreclosure proceedings, and provide management reporting, watch-list updates, and documented action plans.
SBA Compliance and Systems Management
  • Apply current SBA SOP requirements, federal regulations, and internal credit policy to servicing and workout decisions in order to protect the SBA guaranty.
  • Use SBA systems and reporting tools, including eTran, the 1502 Dashboard, SBA One, and PARRIS reporting, to resolve discrepancies and support portfolio performance.
  • Maintain current industry knowledge through SBA training and other professional resources, and support timely completion of post-closing documentation.
Performance Goals and Measures
  • Manage the assigned SBA servicing portfolio effectively while protecting the guaranty and complying with SBA requirements, bank policy, and applicable regulations.
  • The SBA Portfolio Manager is responsible for compiling, maintaining, analyzing, and reporting portfolio information to management on a regular basis. This includes preparing recurring and ad hoc reports related to servicing activity, delinquency trends, covenant compliance, liquidation efforts, guaranty claims, Offers in Compromise (OICs), asset quality, and overall portfolio performance. The position is responsible for maintaining portfolio watch lists, tracking action plans and recovery efforts, identifying emerging risks, and providing accurate and timely reporting to support management decision-making, regulatory compliance, and SBA guaranty protection.
  • Meet established standards and required timeframes for delinquency management, ticklers, covenants, annual reviews, documentation, approvals, and reporting.
  • Process servicing and workout requests accurately, elevate material issues promptly, and follow approved liquidation, legal-action, OIC, and guaranty-claim procedures.
  • Maintain complete, accurate, and well-organized loan files that clearly support servicing decisions, approvals, and actions.
  • Other duties as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)

Required

  • Minimum three to five years of SBA loan servicing, closing, administration, collections, workout, or related credit experience.
  • Working knowledge of SBA SOP 50 57, SBA forms, post-closing requirements, applicable federal regulations, and SBA systems, including eTran, PCFS, and the 1502 Dashboard.
  • Strong written and verbal communication, organization, analytical ability, attention to detail, Microsoft Office proficiency, and sound credit judgment.
  • Ability to manage multiple loan files, deadlines, borrowers, relationship managers, legal counsel, and internal partners in a collaborative and professional manner.

Preferred

  • Bachelor’s degree preferred, but relevant professional experience may be substituted.
  • Experience with attorney-prepared SBA documentation, secondary-market administration, loss mitigation, Offers in Compromise, guaranty claims, liquidation, foreclosure, or other legal-action support.
  • NAGGL or equivalent SBA training or certification.

This is a position can report to our Salt Lake City, UT or Troy, MI office.
