Job Description
The Policy Services Representative provides essential processing and administrative support to Account Managers, Producers, and customers. This position helps keep insurance policy service work moving by processing transactions, verifying information for accuracy, maintaining electronic files, assisting with claims follow-up, and responding to routine customer service needs. Through accuracy, timely follow-through, and strong communication, the Policy Services Representative helps the agency meet its service standards and deliver a positive customer experience.

Responsibilities
- Serve as a welcoming first point of contact for customers and visitors, answering calls, taking messages, and directing questions or service needs to the appropriate team member.
- Assist walk-in customers with routine service needs and payments, providing support or connecting them with an Account Manager when needed.
- Process policy transactions, including changes, renewals, cancellations, reinstatements, and other service requests.
- Review policy documents and transaction information for accuracy and follow up on corrections when needed.
- Assist customers with routine service needs and coordinate with Account Managers and Producers on more complex requests.
- Provide administrative and processing support for claims, proof of insurance, carrier documents, and other customer needs.
- Maintain accurate and timely documentation within agency management and workflow systems.
- Manage assigned tasks and follow up on outstanding items to ensure work is completed accurately and on time.
- Work collaboratively with customers, Account Managers, Producers, insurance carriers, and other team members to resolve service needs.
- Participate in training and assist with other service and administrative responsibilities as needed.
Requirements
- High school diploma or equivalent required.
- Customer service, administrative, insurance, or related office experience preferred.
- Insurance experience is not required. We will provide training and support for the right candidate.
- Strong communication and interpersonal skills with a professional, customer-focused approach.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and complete work accurately and on time in a fast-paced environment.
- Comfort using computers, data entry, and standard business software applications.
- Ability to communicate information clearly and accurately and follow established agency procedures.
- Ability to work independently while collaborating effectively as part of a team.
- Commitment to providing courteous, efficient service and maintaining customer confidentiality.
