Job summary

CAMS - Texas in Houston seeks a Contract Administrator to support PMO, consulting operations, and legal teams in handling client contracts, PSAs, TOs, and related documents. You will manage intake, routing, and tracking, ensuring approvals and maintaining a centralized repository.

Preferred candidates have 3+ years in contract administration, excellent MS Office skills, and the ability to work with multiple stakeholders in a fast-paced environment.

Responsibilities

  • Manage intake, routing, and tracking of client contracts, amendments, TOs, DAS, POs, and MSAs.
  • Maintain contract status logs and workflow tracking to support reviews and execution.
  • Coordinate reviews and approvals among PMO, project managers, technical leads, CAMS Legal, and management.
  • Ensure required approvals are obtained prior to contract and tasking order execution.
  • Maintain centralized repository of executed agreements and amendments with CAMS Legal.
  • Track key milestones: effective dates, expirations, renewals, and notices.
  • Generate reminders for renewals, obligations, and required actions; support audits and due diligence.

Job description

Support the Project Management Office (PMO), consulting operations, and legal teams. Responsible for the administration, tracking, review, organization, and archival of client contracts, professional services agreements (PSAs), task orders (TO), monitoring cumulative PSA activity, amendments, deal approval sheets (DASH), and related contracting documents. Position requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced consulting environment. This role serves as a key liaison between the PMO, project managers, technical leads, CAMS Legal, and business leadership to support contractual compliance, document control, and effective contract lifecycle management.

Essential Duties and Responsibilities
Contract Administration
  • Manage the intake, routing, and tracking of incoming client contracts, task orders, amendments, deal approval sheets, purchase orders, and master service agreements.
  • Maintain contract status logs and workflow tracking systems to support timely review and execution.
  • Coordinate contract review and approval activities among project managers, technical leads, PMO leadership, and CAMS Legal.
  • Confirm that required approvals are obtained before contract and tasking order execution.
Contract Review Support
  • Conduct initial reviews of client contract redlines and proposed edits.
  • Identify deviations from approved commercial terms, risk positions, insurance requirements, indemnification provisions, limitation of liability language, payment terms, and other established contracting standards.
  • Prepare contract variance summaries and coordinate escalation of non-standard terms to CAMS Legal and management.
  • Track negotiated exceptions and approved risk positions for future reference and compliance.
Contract Lifecycle Management
  • In coordination with CAMS Legal, maintain a centralized repository of executed agreements and amendments.
  • Monitor contract effective dates, expiration dates, renewal provisions, notice periods, and other critical milestones.
  • Generate reminders and notifications regarding upcoming renewals, terminations, contractual obligations, and required actions.
  • Track client-specific contractual obligations and special terms to support compliance throughout project execution.
Document Control and Records Management
  • Manage contract and project document filing in accordance with established PMO document control procedures.
  • Ensure files are maintained using approved naming conventions and directory structures.
  • Coordinate archival of executed agreements, correspondence, amendments, and supporting documentation.
  • Support audits, due diligence requests, and document retrieval efforts.
Internal Coordination
  • Serve as a coordination point among the PMO, project managers, technical leads, operations personnel, and CAMS Legal.
  • Facilitate communication regarding contract status, approvals, revisions, and outstanding action items.
  • Support PMO initiatives related to document control, contracting processes, and continuous improvement.
Reporting and Process Improvement
  • Prepare periodic reports regarding contract status, expiring agreements, pending reviews, and contract metrics.
  • Identify opportunities to improve contract management workflows, document controls, and administrative processes.
  • Assist with developing and maintaining contract administration procedures, templates, and tracking tools.
Qualifications and Skills
  • Associate's or bachelor's degree in Business Administration, Paralegal Studies, Project Management, Finance, or a related discipline
  • Minimum three years of experience in contract administration, project administration, legal support, document control, or a similar administrative role
  • Strong organizational skills with exceptional attention to detail
  • Demonstrated ability to manage multiple priorities and deadlines simultaneously
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and SharePoint
  • Ability to handle confidential and sensitive information with discretion
Preferred
  • Candidates with five or more years of direct experience in a contract administration/compliance role for an organization with an active and growing compliance and/or contract administration department
  • Experience supporting engineering, consulting, infrastructure, energy, environmental, industrial, or other project-based businesses
  • Familiarity with commercial contracts, professional services agreements, task orders, and purchase orders.
  • Experience working with legal departments or outside counsel
  • Knowledge of document control and records retention practices

$115,000 - $130,000 a year

Applicants must possess a valid driver's license and maintain a clean driving record, as this position requires occasional travel for company business. Candidates should be comfortable operating a vehicle as part of their job responsibilities and must meet any applicable company and insurance requirements.
