POSITION SUMMARY: We have an exciting opportunity to join our team as a Program Coordinator - Obs/Gyn. In this role, the successful candidate will be responsible for providing broad range of complex project/program coordination, including program design, budget, staffing, logistics, and other supportive functions. Develops and implements new clinical, research, education and faculty development initiatives centered on Deans Departmental Snapshot goals. Supports the development of internal and external communication and marketing materials in collaboration with the Senior Program Coordinator. Reports to Division Administrator, works in close collaboration with Directors and Division Administrators as needed on initiatives. Works autonomously and with limited oversight.
JOB RESPONSIBILITIES:
PROGRAM/PROJECTCOORDINATION
Supportsdepartmental leadership in implementation of new clinical, research, andeducation programs
Coordinateswith internal and external parties to organize the various components needed toinitiate, run and conclude major programs
Organizesand coordinates schedules, activities and special events. Manages conferencepreparation activities (checking and coordinating the logistics and technicalsupport, ordering food,) and other related activities.
Attendsmonthly leadership meetings as needed; socialize agenda with stakeholders forreview beforehand and distribute detailed meeting minutes in a timelyfashion.
Createsand maintains accurate project/program timelines, communicating upcomingdeadlines and achieved milestones. Ensures projects/programs are completedwithin projected timeline. Identifies and communicates barriers or scope creepthat may cause a delay in project/program completion.
Reviews,edits and obtains appropriate approvals. Responds to more complexcorrespondence and refers the more complex issues with recommendation to supervisor.
REPORTS
Prepares visually attractive, accurate, timely reports, andpresentations utilizing appropriate software applications. Analysesfindings/data and presents recommendations.
Prepares and reviews documents independently and generatesstatus/progress reports for ongoing and pending program related projects
Gathers,collects data from different parties, ensures accuracy and analyzes findingsand presents recommendations as applicable
COMMUNICATIONS
Supportsdevelopment and design for all official Chairs Office and departmental communications.This includes but is not limited to announcements, newsletters, templateemails, brochures, booklets, presentations, and reports.
Supports the development and delivery of communication andengagement strategies through concept, research, design, implementation, anddata analysis
Cultivates relationships and collaborate with departmentsacross the health system (Departmental Communications, Health Literacy, Printing/Design,etc.) to assess needs and effectively produce internal and externalcommunication products
Supports creation and maintenance of digital content,including all digital boards at NYU Langone Health Ambulatory Care Center at E.53rd Street and manages the multimedia player, Visix.
Designs communication and engagement materials consistentwith institutional branding and design guidelines, using industry-standarddesign tools
Co-manages the OBGYN NYULH Sharepoint site includingdeveloping, upgrading content, and data collection
Maintains marketing and events calendar, ensuringdepartmental communication efforts are being disseminated in a timely andappropriate fashion
Curates content for monthly staff newsletter and ChairsCorner newsletter. Partner with appropriate stakeholders to ensure all contentis captured correctly and presented appropriately. Manages templates anddistribution lists, making updates as needed. Proactively seek feedback and identifyopportunities for communication improvement and operational efficiencies.
Co-creates library of digital and printpatient-education/communication materials. Partner with subject matter expertson content development and Health Literacy for language best practices. Designmaterials within institutional guidelines, ensuring the same overall look andfeel for cohesiveness. Partner with Epic team on digital distribution.
Seeks out learning opportunities and stay informed ofbusiness strategies, new technologies and communication trends
Attends monthly communication and marketing meetings; providesthoughtful insight and help strategize initiatives for internal and externaldepartmental communications
Maintains and update departmental communication and marketingexpenses with proper documentation; Consults with department leadership to ensureproducts are cost effective and/or are allocated for within FY budget.
Performs other duties as assigned
MINIMUM QUALIFICATIONS: To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration, communication or related field or an equivalent combination of education and relevant experience. Excellent verbal, written, interpersonal, client centered and relationship building skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Computer proficiency in Microsoft Windows, Microsoft Office, Internet, and database programs. Attention to detail, a high level of accuracy and pride in producing quality work.
PREFERRED QUALIFICATIONS: Strong design knowledge and experience with InDesign, Photoshop and Illustrator Knowledge of JungleMail and/or MailChimp Experience working within a healthcare setting Knowledge of institutional branding and editorial guidelines Knowledge of Press Ganey Knowledge of Visix Basic knowledge of HTML coding

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $61,475.67 - $102,459.45 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
