Position Summary

The Pharmacy Onboarding Specialist is responsible for coordinating, facilitating, and overseeing a structured and comprehensive onboarding experience for all new employees joining Southend Pharmacy. Serving as the primary point of contact throughout the initial onboarding period, this role ensures that new hires receive the appropriate departmental orientation, operational workflow training, system access, and clear performance expectations necessary for a successful transition into their respective roles.

The Pharmacy Onboarding Specialist collaborates with leadership and cross-functional teams across all departments and shifts, including Pharmacy Verification, Data Entry, Fulfillment, Shipping, Procurement, Customer Service, Clinical, and other operational areas as assigned. This position plays a critical role in establishing and maintaining standardized onboarding processes while tailoring training programs to meet department-specific responsibilities, operational workflows, and compliance requirements. The overall objective is to promote employee readiness, training consistency, operational efficiency, and a seamless transition to independent job performance.

This is a full-time, onsite position based at Southend Pharmacy, located at 4802 North Sam Houston Parkway West, Suite 100, Houston, TX 77086. Candidates must be able to work onsite at this location during their assigned work schedule.
Essential Duties and Responsibilities
New Hire Onboarding
  • Coordinate the onboarding process for all new Southend Pharmacy employees from their first day through department placement.
  • Provide new employees with an overview of Southend Pharmacy's operations, culture, expectations, policies, and standards.
  • Review attendance, punctuality, professionalism, communication, workplace conduct, and accountability expectations.
  • Ensure new hires understand the organizational structure and know who to contact for questions, concerns, and escalations.
  • Confirm new employees have completed required onboarding activities before being released to their assigned department.
  • Maintain an organized onboarding schedule that accommodates multiple departments, shifts, and employee groups.
Department Orientation
  • Provide or coordinate department-specific onboarding for new employees entering different areas of the pharmacy.
  • Ensure each employee understands their department's purpose, responsibilities, workflow, productivity expectations, and quality standards.
  • Coordinate with department managers and supervisors to ensure training content accurately reflects current workflows.
  • Provide new hires with an introduction to their department leadership and direct reporting structure.
  • Ensure employees understand how their department interacts with other departments throughout the pharmacy.
  • Identify workflow gaps or recurring questions during onboarding and communicate them to Operations leadership.
Workflow Training
  • Train employees on department-specific processes, procedures, systems, and workflow expectations.
  • Demonstrate proper workflow before allowing employees to perform tasks independently.
  • Utilize a combination of classroom instruction, demonstrations, hands-on training, observation, and supervised production work.
  • Coordinate side-by-side training when a new employee requires additional support or department-specific coaching.
  • Ensure employees understand how their work impacts downstream departments and the overall pharmacy operation.
  • Reinforce the importance of accuracy, patient safety, turnaround time, productivity, compliance, and customer service.
Systems and Technology
  • Coordinate with appropriate departments to ensure new employees receive required system access and credentials.
  • Verify that employees can successfully access required systems before being released to their department.
  • Assist with training on pharmacy and operational systems used in the employee's assigned department.
  • Identify system-access or technology issues that could delay onboarding and elevate them appropriately.
  • Ensure employees understand basic system workflows before beginning independent production.
Training Documentation and Accountability
  • Maintain accurate onboarding and training records for each employee.
  • Track completion of required training, department orientation, competency assessments, and system training.
  • Document areas where additional training or remediation is required.
  • Communicate onboarding progress and concerns to department managers and Operations leadership.
  • Work with managers to establish clear expectations for employees who require additional training.
  • Ensure employees are not released to independent work before required training and competency expectations are met.

  • Update training materials when workflows, systems, policies, or procedures change.
  • Assist with development of standardized training guides, checklists, presentations, videos, and competency assessments.
  • Monitor onboarding outcomes and provide leadership with recommendations to improve employee readiness and retention.
