We are seeking an experienced and highly organized Personal Assistant to support an Ultra-High-Net-Worth Individual and their dynamic lifestyle. Reporting directly to the Chief of Staff, this role requires a proactive, tech-savvy, and detail-oriented individual who thrives in a fast-paced environment and excels in managing a wide range of responsibilities.

Key Responsibilities:

  • Travel Coordination: Manage complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.
  • Scheduling & Calendar Management: Oversee a constantly changing and detailed calendar, ensuring seamless coordination of appointments, events, and meetings.
  • Technology & Administrative Support: Utilize advanced computer and technology skills to create and manage spreadsheets, maintain records, and troubleshoot basic tech issues.
  • Household Management: Restock and organize multiple residences, set up houses for arrivals, and liaise with vendors and contractors for maintenance and services.
  • Event Support: Attend race events as needed (weekends on a quarterly basis), assist with inventory management, and ensure logistics are executed smoothly.
  • Errands & Personal Tasks: Handle day-to-day errands, order merchandise, and manage personal tasks with discretion and efficiency.
  • Meeting Assistance: Attend meetings, take notes, and ensure follow-ups are completed.

Requirements:

  • Proven experience as a Personal Assistant, ideally for a UHNWI or in a similar high-level support role.
  • Exceptional organizational and multitasking skills with strong attention to detail.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.
  • Ability to manage complex schedules and prioritize effectively.
  • Excellent communication skills and professionalism in dealing with vendors, contractors, and event staff.
  • Flexibility to adapt to changing priorities and work in a hybrid environment.
  • Discretion and confidentiality are a must.
  • Ability to travel as needed.
