Job description
Overview

Soul Catalyst | Spiritual Psychology Coach | Guiding women into purpose, presence and authentic power through soul alignment.

Position: Personal/Professional Assistant to founder, Donna Bond. The role supports Donna, clients and potential clients; manages online marketing channels, business systems, and day-to-day operations to move clients through the customer journey, increase conversions, satisfaction, loyalty and retention. Location: Southern California preferred, but must be in the USA. Hours: part-time (approximately 15 hours/week) with potential to grow; remote work with flexible schedule.

Responsibilities
  • Engage with and answer client/customer inquiries
  • Serve as the go-to systems expert with Go High Level CRM, Canva, and QuickBooks
  • Manage the GHL lead inbox with brand voice and respond to customer and potential client emails within 24 hours
  • Manage affiliate partnerships and relationships
  • Create, manage and deploy workflows in Go High Level for all client programs
  • Support clients to move along the customer journey, including scheduling Discovery Sessions for Donna Bond; act as point of contact and welcome person before, during and after private journeys, classes, retreats and programs
  • Create templated responses and maintain an up-to-date FAQ document
  • Handle client inquiries and needs; manage customer payments and invoices per contracts/agreements
  • Coordinate with outside contractors (web maintenance, Storyy, Marketing Team, Podcast company) to resolve technical issues
  • Develop and maintain work protocols in Asana; stay up-to-date with programs and marketing copy to keep support on brand
  • Facebook community management and support, including posts and communication
  • Social media organization and support for VA; draft and schedule emails in Go High Level
  • Support live trainings and Zoom sessions, manage comments, record sessions, and upload to learning platform
  • Manage mailing and shipping of books, including PO Box and mail handling
  • Plan and support events and retreats logistics, before, during and after
  • Be proactive with dates and deadlines for business and personal tasks
  • Order client and team gifts, send thank you cards, and contribute to a caring culture
  • Vet and manage podcast scheduling and appearances; manage show descriptions and guest schedules
  • Manage show materials and guest coordination for Spiritual Ambition
System Knowledge

Go High Level; Social Media (Facebook, Instagram, LinkedIn, YouTube, TikTok); Asana; Microsoft Office; Google Sheets/Docs/Slides; XPS Shipping

Qualifications
  • Business experience supporting people and systems
  • Experience with CRM Go High Level
  • Understanding of marketing strategies and initiatives
  • Self-motivated, proactive, and able to manage multiple moving parts as an individual contributor
  • Organizational with excellent memory and problem-solving skills
  • Dependable, communicative, confident; takes personal responsibility
  • Resourceful, tech-savvy, highly organized; able to move initiatives to completion
  • High vibe, positive and grounded; independent self-starter with attention to detail
  • Excellent written communication; strong spelling, grammar, and editing in Google Docs
  • High emotional intelligence and empathy; proactive in supporting others
  • Willingness to jump in and serve; get-it-done attitude
  • Minimum 2 years of customer service experience (online space or online coaching space preferred)
  • Not a coach or aspiring coach at this time
  • Part-time role with potential to grow to full-time; not suitable for someone with a competing side project or company
