Job summary

Colorado Mesa University is seeking an Administrative Assistant for the Performing Arts area. The role supports the Academic Department Heads of Music and Theatre Arts, manages Moss Performing Arts Center access, and coordinates scheduling with multiple campus entities.

You will onboard new faculty, supervise student staff, handle work orders, and assist with contracts and communications. The position emphasizes strong organizational skills and reliable multitasking in a dynamic university

Qualifications

  • Bachelor’s degree required.
  • Experience with Microsoft Office, Outlook and SaaS software.
  • Strong communication and organizational skills.
  • Ability to manage tasks with multiple steps and constituents.
  • Self-motivated and adaptable to process changes.
  • Experience supervising student staff.

Responsibilities

  • Assist Academic Department Heads of Music and Theatre Arts as building manager for Moss Performing Arts Center.
  • Schedule rooms for departmental functions and coordinate with Box Office Manager and department heads.
  • Ensure access for faculty, students, staff and external clients via keys and cards.
  • Submit work orders for maintenance and supervise student employees.
  • Onboard new faculty, including signage, mailboxes, name badges and access credentials.
  • Distribute course evaluations and maintain office supplies.
  • Record meeting minutes and assist with copy/print troubleshooting.
  • Assist with Rental Performance Contracts and mailings.
