Job summary

Vitable is seeking a hands-on People Operations specialist to own onboarding and offboarding, maintain accurate employee records, and provide daily HR support for a fast-moving team in Philadelphia.

You’ll handle semi-monthly payroll prep, benefits questions, and leave tracking, with 1–3 years in HR and experience with an HRIS (Rippling a plus). The role is onsite ~3 days/week in the greater Philadelphia area and remote-first for flexibility.

Qualifications

• 1–3 years in HR, people operations, or another detail-heavy operations role.
• Experience with an HRIS (Rippling a plus) — helpful, not required.
• A track record of managing high-volume recurring work without letting things slip, and good instincts for what to do when everything feels urgent.
• Discretion with sensitive employee information, whether you’re talking to a new hire or a state agency.
• Comfort with ambiguity — when you hit something new, you dig in and find the answer.
• Based in Philadelphia, onsite ~3 days/week - must live in the greater Philadelphia area

Responsibilities

• Onboarding and offboarding, end to end — offer letters, orientation scheduling, Rippling setup, equipment shipping, and on the other side, termination processing, access deprovisioning within SLA, COBRA notices, and separation paperwork.
• Employee records and systems — keeping Rippling accurate as addresses, managers, and employment statuses change, and troubleshooting access issues as the front line.
• Employee support — benefits questions, PTO, equity access, verification requests, and daily HR requests, routing what’s outside your scope to the right specialist.
• Support semi-monthly payroll prep, open enrollment logistics, leave tracking with our administration partner, mail triage, and EOR/contractor onboarding.

You’ll be the daily engine of our People Ops function — the first person employees come to, and the one who makes sure nothing gets dropped.

This is a hands‑on, high‑volume role. One day you’re setting up a new hire’s Rippling account and shipping their laptop; the next you’re confirming an employment verification or making sure a departing employee’s access is revoked within SLA.
