Job summary

Summit Line Construction in Heber City, UT, is hiring a People Administrator to support daily People Operations across the employee lifecycle. You will handle onboarding, data entry, compliance documentation, and record management while maintaining audit-ready records and confidentiality.

This role may operate out of Heber or Provo after initial training in Heber, collaborating with regional teams and leadership to ensure timely and compliant processing of documentation and payroll data.

Qualifications

  • Basic understanding of People principles, practices, and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent interpersonal and communication skills.
  • Ability to handle sensitive information with confidentiality.
  • High level of attention to detail and accuracy.
  • Experience managing calendars, meetings, tasks, and deadlines.
  • Familiarity with People software and Applicant Tracking Systems (ATS) is a plus.

Responsibilities

  • Support People systems by entering and updating employee information, including new hires, employee status changes, terminations, and employment verifications.
  • Accurately maintain digital employee files using standardized naming conventions and retention policies.
  • Conduct QA/QC reviews of onboarding packets, employee change forms, and personnel documentation to ensure compliance with internal SOPs and legal requirements.
  • Track and elevate missing or incomplete documentation prior to payroll or compliance deadlines
  • Assist with internal and external audits by maintaining organized, audit-ready records.
  • Process employment-related documentation requests including Verifications of Employment (VOEs), wage audits, unemployment claims, garnishments, and other compliance inquiries.
  • Ensure confidentiality, integrity, and security of employee information at all times.
  • Generate reports as requested to support People Operations initiatives and continuous improvement efforts.
  • Coordinate and schedule pre-employment and compliance-related drug and alcohol testing.
  • Process termination records.
  • Ensure completion of final documentation, benefit removals, required notices, and proper record archiving.
  • Support I-9 verification tracking and documentation audits.
  • Serve as an administrative point of contact for regional stakeholders.
  • Respond to inquiries from managers and office administrators.
  • Provide cross-regional backup during high-volume periods.

Position Overview:

The People Administrator supports day-to-day People Operations functions across the employee lifecycle, including onboarding, data entry, compliance documentation, employee record management, testing coordination, employment verifications, and offboarding processes.

This role ensures accuracy, consistency, and compliance across all People transactions while supporting regional teams and internal stakeholders. The People Administrator executes established SOPs, maintains audit-ready records, and collaborates with field leadership to ensure timely and compliant processing of employee documentation. This position requires strong organizational skills, attention to detail, confidentiality, and the ability to manage multiple priorities in a deadline-driven environment.

This role may report out of our Heber or Provo locations following a training period in Heber.

Key Responsibilities
What You'll Do
People Operations Support, Compliance and Record Keeping
  • Support People systems by entering and updating employee information, including new hires, employee status changes, terminations, and employment verifications.
  • Accurately maintain digital employee files using standardized naming conventions and retention policies.

Onboarding & Offboarding Support
  • Process and validate new hire documentation.
  • Coordinate and schedule pre-employment and compliance-related drug and alcohol testing.
  • Process termination records.
  • Ensure completion of final documentation, benefit removals, required notices, and proper record archiving.
  • Support I-9 verification tracking and documentation audits.
Regional & Operational Support
  • Serve as an administrative point of contact for assigned regions, departments, or internal stakeholders.
  • Respond to documentation and process-related inquiries from managers and office administrators.
  • Provide cross-regional backup support during high-volume periods.
  • Identify recurring documentation or process issues and communicate improvement opportunities to leadership.
  • Participate in administrative projects, system updates, and process improvement initiatives as assigned.
Payroll Support
  • Support payroll processing by ensuring employee data is accurate, complete, and updated in People systems.
  • Partner with payroll and People Operations to resolve discrepancies related to onboarding paperwork, employee changes, or terminations.
  • Ensure employee records are current and compliant prior to payroll deadlines.
