Summary

The Front Desk Associate role offers an opportunity for the right candidate to apply professional and personal skills by engaging with families to provide a welcoming, first-class experience. This role requires an organized, multi-tasking, responsible, and dynamic individual to carry out all front desk functions and manage administrative tasks for the medical team, aligning with PM's mission, vision, values, and culture.

Description

To perform this job successfully and provide families with a first-class, efficient, and accurate experience, an individual must satisfactorily carry out each essential duty. The following requirements represent the knowledge, skills, and abilities needed:

  1. Greets families professionally both in person and on the phone.
  2. Answers patient/family questions to the best of their ability and seeks clarification when needed.
  3. Uses empathy and active listening in difficult interpersonal situations.
  4. Supports patient care quality initiatives as directed.
  5. Coordinates escalations and urgent issues for timely resolution.
  6. Collaborates with site leadership to manage complex patient issues.
  7. Employs PM Pediatric Care’s core values to assist patients, families, and team members with navigating systems before, during, and after visits.
  8. Monitors and manages patient flow, including assisting with self-registration.
  9. Stays current on workflows, responsibilities, and technology through education.
  10. Registers all patients, maintaining accurate records while ensuring HIPAA compliance.
  11. Manages incoming documents, mail, and correspondence properly.
  12. Maintains confidentiality and privacy of all patient accounts, adhering to HIPAA guidelines.
  13. Performs opening and closing duties, including organizing, stocking, sanitizing, and reconciling.
  14. Performs other duties as assigned.
Qualifications

  • Intermediate skills in Microsoft Office Suite.
  • Flexible schedule with possible travel to other sites.
  • Excellent customer service and telephone skills.
  • Strong verbal and written communication skills.
  • Professional, friendly demeanor.

  • Ability to perform basic calculations, such as handling cash transactions.
  • Excellent time management, organizational, and critical thinking skills.
  • Situational awareness and ability to react effectively to urgent situations.
  • Healthcare experience and knowledge of medical insurance preferred.
  • Ability to relate well to children and their families.
  • Comfortable with shifting demands.
  • Proficient in navigating multiple computer systems.
  • Experience in front desk, concierge, customer service, or hospitality preferred.
  • High school diploma or GED required.
Compensation

$17 - $25/hour. The listed range complies with local regulations and reflects potential base salary, which may vary based on experience and location. Compensation is considered on an individual basis.
