Receptionist at Pediatric Clinic

Position Overview:
Davies Institute for Speech and Hearing is a unique company that offers our community speech therapy, occupational therapy, and audiology services along with our Development Center for kids with hearing loss or speech delays. Our fast-growing pediatric allied health clinic is seeking a Medical Receptionist to join our dynamic, patient-centered team. The ideal candidate will be the first point of contact for our patients and their families, providing a welcoming and professional environment. This role involves a blend of front desk responsibilities, insurance verifications, and medical billing tasks to ensure smooth clinic operations and a positive patient experience.
Key Responsibilities:
Front Desk Management:
- Greet patients and visitors warmly, ensuring a friendly and professional atmosphere.
- Check patients in and out, verifying that all necessary documentation is completed.
- Answer phone calls, respond to inquiries, and direct calls appropriately.
- Manage scheduling for audiology, speech therapy, and occupational therapy services.
- Confirm upcoming appointments and handle rescheduling or cancellations.
Insurance Verifications:
- Verify patient insurance coverage prior to appointments, ensuring services are authorized.
- Obtain prior authorizations and referrals when required by insurance plans.
- Maintain accurate and up-to-date records of insurance information in the electronic medical record (EMR) system.
- Communicate any coverage issues or out-of-pocket costs to patients before their visit.
Medical Billing:
- Collect co-pays, deductibles, and outstanding balances at the time of service.
- Assist with claim submissions and ensure proper coding for insurance billing.
- Follow up on unpaid claims and denials, working with insurance providers to resolve issues.
- Generate patient statements and answer billing-related questions.
- Assist the billing department with month-end reporting and reconciliation tasks.
Administrative Support:
- Maintain the cleanliness and organization of the front desk and waiting area.
- Ensure patient confidentiality by adhering to HIPAA guidelines.
- Assist with general administrative tasks, including filing, faxing, and ordering office supplies.
Qualifications:
Education:
- High school diploma or equivalent required; certification in medical office administration or billing is a plus.
Experience:
- 3+ years of experience in a medical office or healthcare setting, preferably in pediatrics.
- Experience with insurance verification and medical billing is strongly preferred.
- Familiarity with EMR systems (e.g., Kareo, Athenahealth, EPIC) and medical coding (ICD-10, CPT).
Skills:
- Bilingual in Spanish is preferred.
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and billing software.
